As we continue to grow, we are seeking an organised, proactive and detail oriented Office Administrator to support our Operations Team and ensure the smooth delivery of projects from sale through to completion and grant processing.
Role Overview
The Office Administrator plays a critical role within the Operations Department, supporting the Director of Operations, Field Operations Manager and installation teams. The successful candidate will ensure that all project administration, compliance documentation, grant paperwork and operational records are processed accurately and efficiently.
This is an ideal role for someone who thrives in a fast paced environment, enjoys working with multiple stakeholders and takes pride in keeping projects organised and on track.
Key Responsibilities
Administration
- Maintain accurate project records throughout the customer journey.
- Ensure all installation documentation is uploaded and stored correctly within company systems.
- Monitor client installation progress and support the Operations Team in delivering installations on schedule.
- Liaise with customers, installers, surveyors and internal departments where required.
SEAI Grant Administration
- Assist with the processing and submission of SEAI grant documentation.
- Ensure all grant related paperwork is completed accurately and submitted within required timeframes.
- Track grant applications and maintain records of approvals and completions.
- Support customers and internal teams with grant related queries.
Installation Compliance & Certification
- Liaise with electricians to obtain signed Safe Electric certificates and all required installation documentation.
- Ensure post installation paperwork is received, checked and filed correctly.
- Verify that all compliance requirements have been completed prior to project close out.
- Assist in preparing documentation required for audits and quality control reviews.
Scheduling & Operational Support
- Support the Director of Operations and Field Operations Manager with installation scheduling.
- Assist in coordinating installation teams, surveys and site visits.
- Monitor project milestones and proactively identify potential delays.
- Communicate scheduling updates to relevant stakeholders.
Health & Safety Administration
- Support the Field Operations Manager in maintaining health and safety compliance across all installation teams.
- Monitor stock levels of PPE and health and safety equipment.
- Coordinate the ordering and distribution of equipment to field teams.
- Maintain records of training, certifications and safety documentation.
Continuous Improvement
- Identify opportunities to improve operational processes and efficiencies.
- Support the implementation of new systems and procedures.
- Contribute to maintaining SolarSmart's high standards of customer service and project delivery.
Skills & Experience
Essential
- Excellent organisational and administrative skills.

- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office, particularly Excel and Outlook.
- Ability to work independently and as part of a team.
- Strong problem solving skills and a proactive approach.
Desirable
- Experience in project coordination, administration or operations.
- Experience within construction, renewable energy, electrical or engineering sectors.
- Familiarity with grant administration processes.
- Experience using CRM or project management systems.
