Job Title: Office Manager (Commercial Maintenance Services)

We’re a growing maintenance company based in Cork. One minute you’re streamlining office workflows, and the next you’re re-routing field technicians to handle an emergency repair. We’re looking for a highly adaptable, sharp, and proactive Office Manager to keep our headquarters running smoothly and our field team synchronized.
What You’ll Be Doing
- Dynamic Scheduling: Keep our field technicians moving efficiently—pivoting routes and priorities.
- Customer & Tech Ops Hub: Serve as the primary point of contact for property managers, clients, and technicians. You’ll translate client needs into clear, actionable job orders. Track job completion, technician check-ins, and follow-up requirements across multiple active job sites.
- Office & Process Management: Keep administrative workflows tight, manage digital records, order supplies, and constantly refine our processes to help us scale.
- Basic Finance & Fleet Support: Handle client invoicing, match purchase orders, verify timesheets, and help track company fleet maintenance.
- Ensure all field technicians hold up-to-date Safe Pass cards and relevant trade certifications.
- Assist management in maintaining company Health & Safety files, including RAMS (Risk Assessment & Method Statements) for site works.
What We’re Looking For
- High Adaptability: You handle shifting schedules and fast-moving priorities without losing your cool or letting details slip through the cracks.
- Relevant Experience: 2–3+ years in office management, dispatching, or operations (experience in trades, construction, or facility maintenance is a major plus!).
- Tech-Savvy: Comfortable jumping between job management software, MS Office, and Google or other cloud systems.
- Strong Communicator: Strong written and spoken English. Ability to talk to anyone—from site technicians to corporate property managers—with clarity and confidence.
