The Role
Lily & Wild is seeking an experienced and highly organised Assistant Bar Manager – Events & Operations to join our events team.
Reporting to our Bar Manager, you will help plan, prepare and deliver bar operations across a varied calendar of race meetings, corporate functions, private events and large-scale public events throughout County Kildare and the Greater Dublin area.
This is a hands-on operational role covering the full event cycle, from preparing stock and equipment at our base to transporting, setting up and managing bars on site, followed by clear-down and the return of stock and equipment.
This is not a role based behind one permanent bar. It will suit someone who combines strong bar experience with excellent organisation, attention to detail, practical ability and a willingness to take responsibility.
Key ResponsibilitiesEvent Planning and Preparation
- Work closely with the Bar Manager and wider events team to plan bar requirements for each event.
- Review event sheets, expected guest numbers, menus, service requirements and venue information.
- Prepare, pack and check all bar stock, equipment and consumables before departure.
- Ensure each event leaves our base fully prepared, correctly stocked and on schedule.
- Receive and check deliveries, verify quantities and ensure stock is stored safely and securely.
- Identify and report missing, damaged or low-stock items before each event.
Transport, Setup and Logistics
- Safely load and unload company vehicles.
- Drive a company van to and from event venues.
- Coordinate the delivery and placement of bar stock and equipment.
- Set up bars, stock areas, refrigeration and service stations.
- Ensure bars are safe, presentable, fully operational and ready to open on time.
- Work with venue contacts and other Lily & Wild departments during setup and breakdown.
Event-Day Bar Operations
- Assist the Bar Manager in leading bar operations at events.
- Take responsibility for designated bars or events when required.
- Brief, supervise and support bar staff before and during service.
- Maintain high standards of presentation, customer service and product quality.
- Monitor stock levels and organise timely replenishment throughout the event.
- Manage service issues calmly and make practical decisions in a busy environment.
- Ensure responsible alcohol service and company procedures are followed.
- Support accurate cash, till and end-of-event reporting where required.
Stock Control and Clear-Down
- Monitor stock usage, transfers, wastage and returns.
- Assist with regular stocktakes, stock rotation and ordering.
- Coordinate the safe and efficient clear-down of bars after events.
- Ensure all unused stock and bar equipment is returned to base.
- Oversee unloading, checking, cleaning and correct storage after each event.
- Report breakages, shortages, stock discrepancies and maintenance requirements promptly.
- Keep bar storage and preparation areas clean, organised, secure and event-ready.
About You
You will be dependable, methodical and comfortable taking ownership of your work. You should enjoy event operations and understand that successful service begins with detailed preparation, strong organisation and effective teamwork.
Essential Requirements
- Previous experience as an Assistant Bar Manager, Bar Supervisor, Beverage Supervisor or in a similar role.
- Experience working in busy or high-volume hospitality environments.
- Previous experience supervising or leading a bar or hospitality team.
- Strong knowledge of bar setup, stock management and service operations.
- Excellent organisational skills and attention to detail.
- Ability to plan ahead, prioritise tasks and work to firm event deadlines.
- Clear communication skills and a professional approach.
- Ability to work independently while also contributing to a wider team.
- Good basic administrative, stock-recording and reporting skills.
- Full, clean Category B driving licence.
- Confidence driving a company van.
- Availability to work flexible event schedules, including early mornings, evenings, weekends and bank holidays.
- Ability to safely carry out the physical elements of the role, including loading, unloading and moving bar stock and equipment.
Desirable Experience
- Previous experience in outside catering or mobile bar operations.
- Experience at racecourses, festivals, concerts, corporate functions or large-scale events.
- Experience managing multiple temporary bars or service points.
- Good working knowledge of wine, cocktails, draught products and general bar service.
- Relevant training in manual handling, food safety, first aid or health and safety.
