Opportunity
To work in a global firm as part of a dynamic front of house team. The role of the Receptionist/Concierge is to be the first point of contact for all visitors and providing the highest standards of customer care. We aim to make our first impression on all visitors a positive and lasting experience.
Key Responsibilities

To extend to our visitors and clients a warm courteous professional greeting on arrival to our buildings and communicate their arrival to the relevant people promptly, ensure all visitors are met or escorted to the relevant room in a timely fashion.

Manage events, coordinate with client handler and service delivery teams on room setup, equipment, and catering requirements, create a one team environment to ensure a quality seamless delivery of service to the client.
- To handle all Client Suites, Conference room booking on the firm Admin Portal booking system.
- To aid with meeting room requests as required and to liaise with all teams to drive maximum utilization of our rooms.

To carry out regular checks of all spaces and meeting rooms to ensure they are clean, correctly set up and ready for client. Be aware of the buildings appearance on entry and report any issues to FM Helpdesk.
- Carry out regular testing of all IT,Modern Teams Room, reporting any maintenance issues immediately to the FM helpdesk.

Hours of work: Work flexible hours to meet with client on job share days 1st week Thursday & Friday 15.60 hours that week and 2nd week Monday, Tuesday and Wednesday 23.40 hours for this week covering hours between 08.30am to 17:15hrs. Candidate need to be completely flexibility to cover holidays/sick leave for their job share colleague.

To be an ambassador of the firm’s brand and seek the support the wider CBS team to ensure we deliver service excellence.
- To anticipate client needs, follow up with requests and ensure the client expectations are not only met but exceeded.

To ensure that waiting visitors are kept informed of any delays and to ensure their comfort, offer complementary tea/coffee etc.

To maintain appropriate stationery stocks, replenish meeting rooms, as required, with pads, pens and tissues.

To be an ambassador for all audio-visual equipment and to test AV system to ensure all is working, full training will be provided. Be the first point of contact for AV support and arrange external support when needed.
Health and Safety
- To always work in a safe manner and report any hazards to H&S.

To follow all Health and Safety instructions as directed by the Reception Manager

To attend all statutory Health and Safety training

To liaise with the trained first aider if a visitor should fall ill or have an accident and ensure all the relevant paperwork is completed for EY
-
Must be First Aid and Fire Officer Trainer.
Security
-
To report incidents to security.

To ensure all procedures are followed for recording all client and EY Visitors to the Cork Office.
Environmental
-
Support EY environmental initiatives.
-
Ensure best practice for waste and energy savings are followed.
General
Fully support the implement the Firm Policy and Procedures and highlight any inconsistencies to the policy holder.
Skills and attributes for success

Excellent communication skills
- Computer literacy skills – Microsoft Excel, Microsoft Word, Outlook, Teams Reserve/ Admin Poral

Knowledge of Microsoft Surface Hubs and AV Presentation Equipment

Strong customer focus with the ability to operate calmly under pressure

Ability to work under pressure with strong organisational skills
To qualify for the role, you must have

Experience working in 5 Star hospitality Client Focus environment essential

Experience in use and set up of IT Equipment

Strong communication and interpersonal skills.
