Job Purpose
The Facilities Services Lead is responsible for coordinating and overseeing all maintenance, facilities, and cleaning activities within a privately run day clinic (on the northside of Limerick City). The post holder will ensure that the facility remains safe, clean, compliant, and well-maintained to support the delivery of high-quality patient care.
This role is primarily focused on hard services delivery, planning, scheduling, administration, contractor coordination, compliance monitoring, and team supervision. The successful candidate will be highly computer literate and comfortable using electronic systems to manage maintenance schedules, asset records, statutory compliance requirements, service requests, contractor activities, and cleaning programmes. The post holder will use the client CMMS and all hard & soft deliverables & activities, with full training provided. All facilities, maintenance, cleaning, and compliance records must be maintained accurately and updated in real time to ensure a complete and auditable record of site activities.
Key Responsibilities
Facilities Systems & Record Management
- Maintain comprehensive and accurate maintenance, cleaning, compliance, contractor, and facilities records within the CMMS.
- Ensure all maintenance activities, service reports, inspections, contractor visits, corrective actions, and cleaning records are entered into the CMMS in real time.
- Monitor and update planned preventative maintenance (PPM) schedules through the CMMS.
- Generate routine and ad hoc reports to support operational management, compliance monitoring, and audit requirements.
- Maintain asset registers and equipment records, ensuring all information remains accurate and up to date.
- Ensure all documentation is audit-ready and available for inspection by regulatory bodies and accreditation agencies.
- Generation of monthly client report outlining all site activities undertaken.
Health & Safety
- Promote and maintain a strong health and safety culture across the facility, ensuring compliance with all relevant legislation, organisational policies, and healthcare regulations.
- Ensure all maintenance activities are planned and executed in a manner that protects patients, visitors, contractors, and staff, particularly within clinical and treatment areas.
- Conduct regular site audits & inspections, and understand risks and mitigations to hazards and implement corrective actions.
- Ensure compliance with infection prevention and control (IPC) procedures, including appropriate isolation protocols.
- Manage contractor safety, ensuring all contractors receive site inductions and adhere to hospital and site specific safety requirements
- Investigate accidents, incidents, near misses, and safety concerns, implementing corrective and preventative measures as required.
- Ensure the proper use, maintenance, and availability of personal protective equipment (PPE).
- Participate in emergency preparedness activities and support emergency response procedures related facility management.
- Maintain accurate health and safety records, certifications, permits, and compliance documentation.
Equipment & Materials
- Oversee the operation, maintenance, and performance of all building services, plant, and equipment supporting the site, including HVAC systems, electrical systems, water services, medical gas infrastructure, and backup power systems.
- Ensure critical equipment operates reliably to support patient care, treatment delivery, and environmental control requirements.
- Manage specialist equipment and material resources, including consumables, to ensure operational readiness.
- Coordinate the procurement, storage, and use of materials.
Quality Standards
- Ensure maintenance services are delivered in accordance with healthcare industry best practices, organisational specific standards and applicable regulatory requirements.
- Maintain safe, reliable, and compliant building infrastructure to support high-quality patient care within the facility.
- Monitor maintenance performance through key performance indicators (KPIs), service level agreements (SLAs), and preventative maintenance compliance measures.
- Promote continuous improvement through root cause analysis, lessons learned reviews, and implementation of corrective and preventative actions.
- Foster collaboration with clinical teams, infection prevention personnel, facilities management, and external contractors to ensure services meet the needs of patients and healthcare staff.
- Ensure maintenance operations uphold the highest standards of professionalism, patient safety, confidentiality, and service excellence.
- Ensure service records for PPMs, remedials, reactive and/or correction works are carried out promptly and actioned appropriately.

- Excellent computer literacy, including Microsoft Office 365 package and electronic record management systems.

Desirable Experience
- Experience using a Computerised Maintenance Management System (CMMS), Computer Aided Facilities Management (CAFM) system, or similar electronic scheduling platform.
- Experience working within a healthcare, pharmaceutical, or regulated environment.
- Experience supervising cleaning or housekeeping services.
- Knowledge of infection prevention and control requirements.
Physical & Occupational Requirements
- Medically fit to undertake duties.
- Ability to undertake the physical demands of the role, including standing, walking, bending, stretching, climbing stairs and manual handling activities.
- Complete a satisfactory Occupational Health assessment and maintain any vaccinations or immunisations required by that assessment or client policy.
- Ability to perform visual inspections of equipment, machinery, buildings, and work areas, including identifying potential safety hazards.
- Ability to respond to emergency maintenance situations.

- Maintenance of accurate and audit-ready records within the CMMS.
- All maintenance, cleaning, compliance, and contractor activities recorded in the CMMS in real time.
- Completion of statutory maintenance requirements within prescribed timelines.
- Achievement of agreed cleanliness and environmental audit standards.
- Timely closure of maintenance requests and corrective actions.
- Positive outcomes from internal and external audits.
Pay: €45,000.00-€50,000.00 per year
