Division: Industrial Cleaning
Bidvest Noonan is seeking a highly organised, proactive, and detail-oriented Operations Support Administrator to join our Industrial Cleaning division. This varied and fast-paced role provides essential support across recruitment, employee compliance, operational administration, client service, and business support activities. Working closely with Operations Managers and the Strategic Account Lead, the successful candidate will help ensure the smooth delivery of services across a nationwide client portfolio.
Duties
- Manage the end-to-end recruitment administration process, including raising job requisitions, screening candidates, coordinating interviews, supporting hiring managers, and facilitating employee onboarding.
- Coordinate and document investigation, grievance, and disciplinary meetings, including minute-taking and communication between all relevant parties.
- Maintain accurate employee training records and compliance matrices, monitoring certification expiry dates and arranging mandatory training such as Safe Pass, Manual Handling, and other required qualifications.
- Process weekly timesheets accurately, ensuring a high level of attention to detail and data integrity.
- Liaise with clients, suppliers, managers, and operational teams to coordinate works and support day-to-day business activities.
- Raise work orders, prepare work tickets, and provide administrative support to Operations Managers to ensure client expectations are consistently met and exceeded.
- Co-ordinate and submit Garda Vetting applications and compliance requirements across multiple client contracts.
- Prepare and deliver monthly client reports, including proof of works and supporting documentation.
- Support the implementation and ongoing administration of the company's Computerised Facilities Management (CFM) system.
- Create and issue purchase orders in line with operational requirements and supplier requests.
- Arrange, submit, and maintain permits and associated documentation as required.
- Provide up-to-date RAMS (Risk Assessments and Method Statements), training certificates, and compliance documentation to clients upon request.
- Monitor planned preventative maintenance (PPM) schedules and reactive work requests, ensuring effective coordination with the operations management team.
- Support the Strategic Account Lead with key business initiatives, projects, and growth opportunities.
- Effectively manage a diverse workload, adapting to changing priorities while consistently meeting deadlines.
- Provide general administrative and operational support to the Industrial Cleaning leadership and management team.
Requirements
- Minimum 4-5 years' experience in an administrative, HR, recruitment, or operations support role.
- Experience managing recruitment, onboarding, and employee compliance processes.
- Knowledge and understanding of purchase orders, supplier administration, and financial processes.
- Experience administering Garda Vetting.
- Previous payroll, timesheet, or workforce administration experience.
- Proficient in Microsoft Office and business systems.
- Strong understanding of confidentiality and data protection.
- Experience in facilities management, industrial cleaning, contract services, or a similar environment is desirable.
