Job Description & Key Responsibilities
As our Office Manager, you will be the backbone of our daily operations, ensuring our showroom runs flawlessly, our administration is seamless, and our fit out teams are perfectly coordinated.
Your core responsibilities will include:
1. Operations & Team Coordination
Supervision & Scheduling: Schedule the daily timelines for our on-site fit out team and assign trusted third-party contractors to specific projects.
Project Follow-up: Monitor ongoing work results to ensure our office furniture installations meet company standards and client expectations.
Staff Records: Maintain accurate, confidential internal records for office staff (e.g., tracking attendance, leave, and onboarding schedules).
2. Office & Showroom Management
Process Implementation: Design, implement, and maintain efficient office policies and procedures (e.g., standardizing how inquiries are handled or how the showroom is presented to clients).
Supply & Inventory Control: Review and approve supply requisitions. Manage inventory levels for both office essentials and showroom supplies to ensure we never run short.
Environment Maintenance: Ensure the office, showroom, canteen, and games areas remain welcoming, clean, and fully operational for both staff and visiting clients.
3. Administration & Financial Support
Workflow Organization: Control incoming and outgoing correspondence (emails, post, phone calls) and assign clerical functions to ensure zero bottlenecks.
Accounts & Project Filing: Organize and arrange detailed project filing systems specifically tailored for our accounts team (e.g., matching supplier invoices to specific fit out projects).
Data & Records Management: Maintain a secure historical reference system for the retention, protection, transfer, and disposal of company records.
Reporting: Keep senior management informed by preparing regular operational reports and tracking budget expenses.
4. Social Media & Brand Awareness
Content Updates: Keep our digital community engaged by managing regular social media updates.
Qualifications & Skills
We are looking for a proactive multitasker who possesses the following attributes:
People & Process Management: Proven ability to supervise staff, delegate tasks effectively, and promote continuous process improvement.
Strong Communication: Excellent reporting and communication skills to keep management, fit out teams, and clients perfectly aligned.
Financial Acumen: Working with the in house accounts department to ensure completed projects are sent for invoicing.
Tech-Savvy: Highly proficient with modern phone systems and the Microsoft Office Suite (Word, Excel, Outlook).
Education, Experience, and Licensing Requirements
Education: Leaving Certificate, GED, or equivalent (Required).
Experience: Minimum of 3 years of office administration or 2 years of office management experience, ideally within a dynamic, fast-paced setting (Required).
Software: hands-on experience with Microsoft Office tools (Required). CRM packages and Sort My Books (used for Purchase order creation)

Job Type: Full-time, Permanent
Schedule: 8-hour shift, 9:00 am – 5:00 pm, Monday to Friday
