We are a leading provider of industrial and commercial door solutions, specializing in the supply, installation, maintenance, and emergency repair of high-speed doors, roller shutters and other commercial doors. Based in Annacotty, our team supports commercial and industrial clients across the region. We are seeking an experienced, proactive Office Administrator & Accounts Assistant to join our team and help keep our daily operations and finance function running smoothly.
Key Responsibilities
Accounts Support
- Process sales invoices, credit notes, and customer statements.
- Assist with accounts payable — matching supplier invoices against purchase orders and delivery dockets.
- Follow up on outstanding payments (credit control) professionally via telephone and email.
Day-to-Day Operations & Administration
- Act as the first point of contact for customer enquiries via phone and email.
- Log service calls and assist with scheduling service technicians for maintenance and emergency repairs.
- File job dockets, sign-off sheets, and safety documentation accurately.
- Manage general office supplies, post, and internal filing systems.
- Liaise with suppliers, field staff, and commercial clients to ensure seamless service delivery.
What We Are Looking For
- Experience: Minimum 2+ years in an office administration or dual accounts/admin role (experience within construction, field service, engineering, or trades is a distinct advantage).
- Software Skills: Proficiency with accounting software (e.g., Sage, Xero, Big Red Book, or similar) and strong command of Microsoft Excel & Outlook.
- Communication: Excellent phone manner and clear written communication.
- Organization: High attention to detail with the ability to prioritize tasks in a fast-moving environment.
- Proactivity: A reliable, self-motivated individual who takes ownership of day-to-day administrative details.
