Overview:
Otter Products is seeking a part-time Executive Assistant to join our Cork team on a 12 month Maternity Contract. This person will convey welcome by focusing on positive interactions and friendliness toward everyone who visits the office. This position provides office and administrative support to the Managing Director and Leadership Team. Key accountabilities include; managing schedules, arranging travel, meetings and conference calls, etc. and performing a broad range of administrative tasks. This position may prepare confidential correspondence and maintain confidential files.
The ideal candidate will have a can-do, hands-on mentality, be highly organised with strong administrative skills, possess a positive, professional attitude and have the flexibility.

- Utilize in-depth knowledge of company operations, policies and procedures to effectively support the Managing Director and Leadership Team.
- Perform secretarial and administrative duties to support the Managing Director and Leadership Team including copying, electronic filing, document distribution and scanning.
- Manage schedules, arrange appointments, domestic and international travel, meetings, conference calls, expenses, etc.
- Manage multiple calendars that may involve international components.
- Responsible for notetaking and action item follow up, preparing reports and correspondence for use in discussions/meetings of the OPI Leadership Team.
- Prepare presentation materials for high level internal and external meetings.
- Partner with leadership to plan and facilitate office wide events, meetings and communication with an emphasis on building partnerships and highlighting company culture and recognition.
- Participate in corporate event management including, full event logistical coordination, leading an event team and adhering to a budget.
- May coordinate activities between departments, external partners, as well as assisting with companywide events.
- Build and maintain strong partnerships with internal and external customers and partners.
- Support and maintain a positive safety culture by being an active leader in all safety program initiatives.
- Additional project work and other administrative duties as required.
Qualifications:
- Bachelor’s degree in Business Administration or related field is required. Experience in lieu of degree may be considered

Minimum three years of work experience including two in an administrative support role required

Proficient in Microsoft Office (Word, Power Point, Excel)

An expert in calendaring with Outlook and Teams

Ability to handle information with integrity and in a confidential, sensitive, and critical nature

Superior attention to detail and organisational skills with an ability to prioritise and shift duties to meet critical project deadlines

Strong customer focus and ability to interact and communicate clearly in a global market while representing various functions

Excellent written and verbal communication skills

Strong Team player with a positive attitude and an ability to work independently and demonstrate initiative
