Contract: PAYE, part-time – circa 40 hours per month Reporting to: Finance/Bookkeeping Lead
Pay: €25.00 per hour
About the role
We are seeking a Company Administrator with some bookkeeping experience to support our finance function on a part-time, fully remote basis (circa 40 hours per month). This role centres on managing the timesheet-to-invoice cycle for our staff and contractors, who are based across construction and operational sites in Europe, and on supporting our incumbent bookkeeper with regular account reconciliation.
We will fully equip your home workspace – laptop, desk, chair and any other IT you need – so you can work comfortably and effectively from home.
Key responsibilities
- Manage the timesheet process for our staff – issuing reminders and following up to ensure timesheets are submitted on time and completed correctly.
- Review completed timesheets against invoices submitted by contractors, checking for accuracy and querying any discrepancies.
- Use approved timesheets to generate client invoices.
- Issue invoices to our various clients through their respective online billing/vendor portals.
- Assist the incumbent bookkeeper with bi-weekly account reconciliation.
- Maintain accurate, up-to-date records of timesheets, invoices and related correspondence.
- Flag any recurring issues with timesheet completion, invoice discrepancies or portal submissions to the finance team.
Essential experience and skills
- Some bookkeeping experience, ideally including invoicing and account reconciliation.
- Strong attention to detail and comfortable working with numbers.
- Confident using Excel and standard accounting/invoicing software.
- Comfortable learning and working across multiple client billing portals.
- Good written communication skills, with the confidence to follow up with staff and contractors to ensure timesheets are completed correctly.
- Well organised and able to manage recurring, deadline-driven administrative tasks independently while working from home.
- Reliable home internet connection and a suitable home working space.
Desirable
- A bookkeeping or accounting technician qualification (e.g. IATI, ACCA foundation level) or working towards one.
- Prior experience with timesheet or payroll administration.
- Experience working in a construction, engineering or multi-site operational business.
- Familiarity with common accounting packages such as Xero, QuickBooks or Sage.
