Elite Tech Precision is looking for an experienced and organised Service Administrator to join our team in Naas, Co. Kildare.
This is a full-time, permanent position within our busy service and maintenance operation. The successful candidate will play an important role in coordinating engineers, managing customer requests, scheduling service and reactive works, and ensuring jobs are managed efficiently from initial call through to completion.
Previous experience within a Facilities Management (FM), building services, maintenance, engineering services or similar service-based environment is essential.
We are not looking for a general office administrator. The successful candidate should have experience working in a busy service environment where they have been responsible for coordinating engineers or technicians, scheduling jobs, dealing with customers and managing multiple priorities.

The Role
The successful candidate will work closely with our service team, engineers, customers, suppliers and management to ensure the smooth running of our service and maintenance operations.
Key responsibilities will include:
- Managing incoming service and maintenance requests from customers.
- Scheduling and coordinating engineers for reactive, planned and maintenance works.
- Managing engineers' diaries and ensuring jobs are scheduled efficiently.
- Liaising with customers to arrange appointments and provide updates on works.
- Responding to customer enquiries by phone and email.
- Creating and updating job sheets, work orders and service records.
- Monitoring jobs from initial request through to completion.
- Following up outstanding jobs and ensuring works are completed within agreed timescales.
- Coordinating return visits where additional works or parts are required.
- Liaising with engineers regarding job requirements, access arrangements, parts and site information.
- Liaising with customers regarding access, appointments and site requirements.
- Ensuring engineers have the correct information before attending site.
- Processing engineers' reports and ensuring paperwork is completed accurately.
- Assisting with quotations and follow-up of additional works where required.
- Liaising with suppliers regarding parts, availability and deliveries.
- Maintaining accurate records of customer and job information.
- Assisting with invoicing and ensuring completed works are ready for billing.
- Monitoring outstanding quotations and service requests.
- Dealing with urgent and reactive call-outs in a calm and organised manner.
- Prioritising multiple jobs and responding to changing requirements throughout the day.
- Supporting the wider operations team with general administration and coordination.
- Maintaining a high standard of customer service at all times.
Experience & Skills Required
The successful candidate will ideally have a minimum of 2–3 years' experience in a similar service administration or coordination role.
Experience within a Facilities Management, maintenance, engineering, building services or similar environment is essential.
