We’re a practical, people-first team supporting drivers, depot, colleagues, and office staff. As our HR Coordinator, you’ll be the steady hand behind the day‑to‑day: accurate records, smooth hiring and onboarding, timely payroll inputs, tidy data, and clear, friendly support for managers and employees.
What you’ll do
HR operations
- Keep employee records and contracts up to date in the HRIS; file documents
- correctly (digital/physical) and make sure we’re audit/GDPR ready.
- Own the HR inbox: respond promptly, track queries, and escalate when
- something needs a manager’s call.
- Draft and issue HR letters (offers, contract changes, probation outcomes,
- references) and keep templates current.
- Recruitment and onboarding
- Coordinate adverts, interview schedules, and agency/manager communication.
- Run right‑to‑work checks and pre‑employment screening (references;
- medicals/licences where required).
- Orchestrate a smooth day one: IT/asset requests, inductions, and HRIS setup so
- new joiners feel welcome and equipped.
- HRIS, time and reporting
- Keep HRIS data clean and timely; work with site managers to correct
- time/attendance issues.
- Send accurate starters/leavers/changes to Payroll to keep pay right.
- Produce simple monthly reports (headcount, turnover, absence) and fix data
- gaps you spot.
- Employee lifecycle and ER support
- Track probation end dates, contract renewals, and leave changes; prepare exit
- documents and collect assets for leavers.
- Support formal meetings by organising invites, preparing packs, and taking clear,
- confidential minutes.
- Compliance and continuous improvement
- Maintain trackers for right‑to‑work, permits/visas, mandatory training (and driver
- medicals/CPC where relevant); chase actions before deadlines.
- Suggest small process/template improvements that save time and reduce errors;
- pitch in on HR projects and audits.
About you
- 1–3 years in an HR admin/coordination role in Ireland; logistics/transport or multi‑site experience is a plus.
- CIPD qualification or working towards (Level 5+ desirable).
- Solid grasp of Irish employment law basics (probation, absence, RTW, data protection).
- Comfortable in HRIS and Excel (you can manage trackers, VLOOKUP/XLOOKUP or filters, and spot anomalies).
- Organised, calm under time pressure, and attentive to detail; you follow through.
- Clear, friendly communicator who builds trust with managers, depot teams, and new starters.
- Discreet with sensitive information and respectful of confidentiality.
Practical details
- Occasional travel to depots may be needed for onboarding or meetings.
