The Customer Service Administrator plays a key role in supporting the efficient operation of the Deanta sales team by providing high-quality administrative and customer service support. The role is responsible for ensuring that customer enquiries, quotations, orders, and related administrative activities are processed accurately, efficiently, and in a timely manner.
Working closely with customers, the sales team, warehouse, and purchasing departments, the Customer Service Administrator contributes to delivering an excellent customer experience and administrative support through effective coordination, communication, and attention to detail.
The Customer Service Administrator reports to the Sales and Customer Service Supervisor.
Job duties and responsibilities
· Process customer sales orders received via email, customer portals, or other channels accurately and efficiently using Sage.
· Create, maintain, and amend customer sales orders, ensuring all information is accurate and up to date.
· Ensure customer orders are live, complete, and ready for allocation in accordance with operational requirements.
· Process amendments to customer orders, including changes to delivery dates, quantities, products, and delivery addresses.
· Maintain accurate customer records, order notes, and supporting information as required.
· Respond promptly, providing accurate and timely information to customers regarding order status, stock availability, deliveries, and general order queries.
· Process customer sales returns and replacement orders accurately in line with internal processes and procedures.
· Deliver high-quality after-sales service by managing customer queries, coordinating resolutions, and ensuring timely follow-up to achieve customer satisfaction.
· Maintain accurate records of sales returns, and additional orders.
· Support the sales team by monitoring sales orders awaiting allocation and dispatch to ensure timely processing and fulfilment.
· Monitor order status and liaise with relevant departments to resolve issues that may impact allocation or dispatch.
· Communicate order updates and any potential delays to the sales team and customers, as appropriate.
Skills and experience
· Minimum 2 years’ experience in administrative or customer service focused role.
· Flexible attitude, and ability to manage multiple priorities and shifting demands.
· Excellent organisational and communication skills, and ability to prioritise workload.
· Sage 200 desirable but not essential.
