This role would suit a recent graduate with a logical mindset and strong systems aptitude who is looking to build a career in purchasing and commercial operations - full training on our processes and systems will be provided
Role Purpose
As the business grows, the volume of item data administration in our ERP system (Microsoft Dynamics 365 Business Central) has placed increasing demands on our buyers. This new role will centralise all item data management, freeing our buyers to focus on sourcing, supplier negotiation, and commercial strategy.
The Purchasing Administrator will be the single point of ownership for the accuracy, completeness, and integrity of product data in Business Central. This is a high-trust, high-precision role that requires someone who is systematic, assertive, and genuinely comfortable working within a structured ERP environment.
Key Responsibilities
Item & Product Data Management

Own the end-to-end setup and maintenance of product records in Microsoft Dynamics 365 Business Central.

Create and activate new items, ensuring all mandatory data is complete and accurate before release.

Maintain product attributes, barcodes, GTINs, vendor information and item status.

Enforce data quality standards, returning incomplete requests and preventing inaccurate data from entering the system.

Liaise with buyers and suppliers to obtain missing information and secure approvals.
Pricing, Promotions & Rebates

Process cost and retail price changes accurately and within agreed timelines.

Maintain promotional calendars and support promotional activity, including store-specific campaigns.

Produce and maintain competitor pricing reports.
Compliance & Data Governance

Maintain the organic certification database, monitor certificate renewals and ensure legal compliance.

Conduct regular audits of product certification and promotional data.
Order Processing & Team Support

Coordinate complex multi-drop corporate orders using Business Central configuration packs.

Support buyers with product administration, commercial events and promotional data.

Provide general administrative support to the Products team while acting as the gatekeeper for product data quality.
Essential

Strong logical and systematic approach, with a focus on accuracy and process compliance.

Confident and assertive in enforcing processes, even when challenged by buyers, suppliers, or colleagues under pressure.

Comfortable holding firm when required to protect data integrity and business standards.

Understands the downstream impact of poor item setup across buying, finance, and sales, and takes ownership for getting it right.

Advanced Microsoft Excel skills (VLOOKUP/XLOOKUP, data validation, structured tables, bulk data manipulation).

Experience using an ERP system (Microsoft Dynamics 365 Business Central preferred).

Exceptional attention to detail with a strong commitment to data accuracy.

Ability to manage multiple priorities and competing deadlines.

Strong written and verbal communication skills for supplier and cross-functional collaboration.
Desirable
Experience in a retail, FMCG, drinks, or food & beverage business
Familiarity with LS Retail, Shopify, or other point-of-sale/e-commerce systems
Understanding of promotional mechanics, rebate structures, or supplier funding models
Background or interest in data science, analytics, or AI - we are actively investing in data capabilities and welcome candidates who can contribute to that agenda
Experience with document management, process documentation, or SOPs
