To support this agenda, we are recruiting an Executive Assistant to support the support to the CITO function.
The primary focus of the Executive Assistant is to provide high-quality administrative and organisational support to the CITO function. The role plays a key part in ensuring the smooth day-to-day running of executive schedules, meetings and operational activities, enabling leaders to manage their priorities effectively. Working as part of a wider EA network, this role supports coordination across teams and helps maintain efficient and well-organised processes in a fast-paced environment.
What you will help us to achieve
The successful candidate will:
- Provide administrative support, including managing calendars, scheduling meetings and supporting effective time management.
- Coordinate meetings, including room bookings, materials preparation, minute taking, and logistics to ensure smooth delivery.
- Support the organisation of team events such as town halls, leadership meetings and offsites.
- Assist with HR administration, including recording leave and maintaining absence records
- Work with Executive Assistants across locations and time zones to support coordination of activities.
- Coordinate travel arrangements, including flights, accommodation and transport, ensuring necessary documentation is prepared.
- Provide day-to-day office and on-site support where required (e.g. visitor coordination, meeting setup, catering).
Process expenses, invoices and other routine administrative tasks in a timely manner
- Act as a key point of contact for administrative queries, responding or directing as appropriate.
- Log and track IT requests, following up to ensure timely resolution
- Provide administrative support to team activities and initiatives as required.
- Maintain confidentiality and handle sensitive information with care and professionalism.
What you will need to be successful in the role
The ideal candidate will demonstrate:
- Experience providing administrative or EA support in a busy or fast-paced environment.
- Strong organisational skills, with the ability to manage multiple tasks and prioritise effectively.
- A professional approach and commitment to maintaining confidentiality.
- Good attention to detail and a structured approach to work
- Proficiency in Microsoft Office tools, including Outlook, Word, Excel and PowerPoint.
- Clear written and verbal communication skills.
- A collaborative and approachable style, with the ability to work with a range of stakeholders.
- Flexibility and reliability, with a willingness to adapt to changing priorities.
- Sound judgement to manage tasks effectively and escalate issues where appropriate.
