The anticipated salary range for this role is €210p/d - €440p/d, with the final offer determined based on the candidate’s skills, experience, role scope, location, and relevant market factors. In addition to base salary, the role may be eligible for a discretionary incentive award and a competitive benefits package, including core benefits such as pension provision.

Purpose of Job
Key Responsibilities
- Programme Governance
- Support the planning and coordination of programme governance meetings.
- Schedule steering committee, programme board, design authority and workstream meetings.
- Prepare agendas, meeting packs and presentation material.
- Record meeting minutes, decisions and actions.
- Track completion of agreed actions and escalate overdue items.
Programme Administration
- Maintain the Horizon programme documentation repository.
- Ensure programme documentation follows agreed standards, version control and approval processes.
- Manage programme distribution lists and communications.
- Coordinate document reviews and approvals.
Planning & Reporting
- Assist with the production of weekly and monthly programme reports.
- Collect status updates from workstream leads.
- Maintain milestone trackers and programme dashboards.
- Update integrated programme plans where required.
- Produce presentation packs for programme leadership.
This role will operate with close alignment to the Global Horizon Program Office and the EMEA ITSD Cross Product Platforms HR IT and Data IT teams
The role holder will engage with EMEA and Global Horizon Programme stakeholders located in different SMBC regions
Background
This role supports the delivery of EMEA technology outcomes for SMBC’s Global Horizon programme, the bank’s first large scale global HR technology implementation. Horizon aims to migrate SMBC’s regionalised HR systems to a single global SAP SuccessFactors platform with a common, standardised integration landscape.
The PMO Administrator will provide operational and administrative support to the EMEA workstream ensuring effective governance, reporting, planning and document management across the programme. The role will support programme leadership, workstream leads and project managers by maintaining programme controls, coordinating governance activities and ensuring that programme information is accurate, complete and readily available.
The role is critical in maintaining the smooth day-to-day operation of the PMO and ensuring that programme governance processes are consistently applied across all Horizon workstreams.
Accountabilities and Responsibilities
RAID Management
- Maintain programme RAID logs including risks, issues, assumptions, dependencies, decisions and actions
- Chase updates from workstream leads.
- Ensure RAID items are current and accurately reflected in governance reporting.
- Escalate overdue actions where appropriate.
Financial & Resource Administration
- Support resource onboarding and offboarding activities.
- Maintain programme resource trackers.
Quality & Compliance
- Ensure governance artefacts comply with programme standards.
- Maintain audit evidence where required.
- Support stage gate and quality review activities.
- Ensure programme documentation remains complete and up to date.
Integration Workstream Support
- Support the Horizon delivery and integration leads through maintenance of various trackers e.g. integration delivery, design document, build, SIT/UAT readiness and cutover
- Provision of defect reporting
- Coordinate information between various teams e.g. enterprise architecture, integration developers, regional teams, third-party vendors and programme Management Office
Programme Communications
Support the preparation and distribution of:
- Weekly status reports, programme newsletters, governance packs, steering committee packs, RAID summaries, milestone updates and programme communications
- Operate effectively within a dual organisational context spanning the Global Horizon Programme Office and EMEA ITSD Cross Product Platforms (HR IT and Data IT).
Knowledge, Skills, Experience and Qualifications

- Previous PMO or Project Administration experience.
- Experience supporting large transformation programmes.
