Perform Physio is NOW HIRING
Job Title: Patient Journey Coordinator - Full Time
Location: Dundalk, Co. Louth
Most reception roles ask you to answer the phone. This one asks you to grow a career and be part of an exciting physiotherapy business.
Answer the phone. Book the appointment. Move to the next call. If that's all you're looking for then Perform Physio won’t be the right place for you.
At Perform Physio, the person who owns the patient journey owns a real part of how the clinic performs. Not only that, being the first point of call/contact can have a significantly positive outcome on the patients overall success with our clinical team. That means picking up the phone to patients who've drifted away and getting them rebooked. Following up before a patient becomes disheartened or falls through a crack. Keeping every system accurate enough that nothing slips through.
If you're driven, confident on the phone and want a genuine path into business healthcare management then keep reading.
ABOUT PERFORM PHYSIO
Perform Physio is a growing multi-practitioner physiotherapy clinic based in Dundalk, Co. Louth. We treat everyone from weekend athletes, GAA players as well as everything musculoskeletal in our general population demographics. We've built our reputation on getting people back to doing what they love and have grown as the leading physiotherapy clinic in Louth. We're expanding and we hold ourselves to a high clinical standard. The person managing the patient journey is just as important to that standard as the clinicians delivering treatment.
THE ROLE
This is a full-time role based at our Dundalk clinic.
You'll be the first voice most patients hear and the person who makes sure they come back. Reception, reporting, and outbound patient calls all sit with you. These calls are where you'll make the biggest difference: reactivating lapsed patients, following up cancellations, and turning missed appointments into rebooked patient care. This role is also vital in the day to day running of the business.
WHAT YOU'LL ACTUALLY BE DOING – IN BRIEF
- Making outbound calls to reactivate lapsed and cancelled patients
- Following up with patients who've dropped off their treatment plan
- Managing bookings, scheduling and reception duties
- Tracking and reporting on reactivation, rebooking and cancellation rates
- Being a warm, professional first point of contact for patients in clinic
- Supporting the clinic director with reporting and process improvements
- Active role in managing the day to day processes/operations/communications in running of our physio business
WHO YOU ARE
- Confident picking up the phone, even for a harder conversation
- Motivated by hitting targets, not just getting through a task list
- Comfortable with transparency and happy tracking your own performance
- Genuinely warm with people - Perform Physio patients notice the difference
- Career-minded – not afraid to make and learn from mistakes
- Someone who is driven and able to work on your own initiative who can tackle problems independently as they arise

✓ You are excited by a team around you & work really well inside a team environment
IT'S NOT FOR YOU IF
✗ Outbound calls feel uncomfortable to you
✗ You need reminding to follow things up
✗ You'd rather be told exactly what to do than spot what needs doing
✗ You're looking for something quiet and low-accountability
✗ Patient contact is something you'd rather avoid
✗ You aren’t comfortable working on initiative
✗ You aren’t comfortable with performance tracking, constructive feedback
✗ You aren’t willing to grow in the business
WHAT SUCCESS LOOKS LIKE IN THIS ROLE OVER THE FIRST 3 MONTHS
30 DAYS
You know the systems, the diary and the patient journey inside out. Calls are handled confidently and nothing is slipping through. You are comfortable working within a team environment and building world-class relationships with our patients as they walk through our doors.
60 DAYS
Reactivation and rebooking calls are a natural part of your day. Reporting is accurate and up to date daily without being chased. You are establishing weekly meetings with management to discuss processes.
90 DAYS
You're spotting gaps in the process yourself. Reactivation numbers are visibly improving and you're trusted with more.
The measure of success: patients feel looked after from the first phone call. The clinic runs like it should. And you're the reason.
