We are looking for an experienced and highly organised Office Administrator to join our team.
The successful candidate will coordinate multiple construction projects, place and monitor orders, organise deliveries, schedule fitters and ensure projects remain on programme. This is a busy role requiring excellent communication, strong attention to detail and the ability to manage several live projects simultaneously.
Main Responsibilities
- Coordinate projects from order confirmation through to completion.
- Set up and maintain projects on the company’s management systems.
- Review project scopes, drawings, specifications and deadlines.
- Prepare purchase orders and place material orders accurately.
- Obtain supplier lead times and track outstanding orders.
- Arrange deliveries to site and ensure materials arrive when required.
- Schedule fitters and subcontractors across multiple projects.
- Provide fitters with drawings, site information and work schedules.
- Communicate regularly with suppliers, fitters, site managers and internal teams.
- Coordinate samples, colour approvals and technical submittals.
- Assist with health and safety documentation, inductions and project folders.
- Track labour hours, dayworks, site measures and completion sign-offs.
- Match supplier invoices against purchase orders.
- Investigate and resolve pricing, quantity or delivery discrepancies.
- Maintain accurate project, purchasing and delivery records.
- Assist with project close-out documents and O&M manuals.
- Work closely with management, accounts and the Quantity Surveyor.
Essential Requirements
All the following requirements are non-negotiable:
- Minimum of three years’ experience in the construction industry.
- Minimum of three years’ experience in a similar administration, or purchasing role.
- Fluent, professional English with an excellent standard of written communication.
- Clear, confident and professional English over the telephone.
- Strong understanding of construction programmes, supplier lead times, site deliveries and project deadlines.
- Proven ability to manage several live projects at the same time.
- Experience preparing purchase orders and checking supplier invoices against POs.
- Strong computer, administration and record-keeping skills.
- Excellent organisation, accuracy and attention to detail.
- Ability to prioritise urgent tasks and respond quickly to programme changes.
- Applicants must already be living in Ireland.
- Applicants must have their own reliable means of commuting to our office in Donohill, Co. Tipperary.
- This position is fully office-based, Monday to Friday. There is no remote or hybrid working option.

You will be proactive, practical and comfortable working in a fast-paced construction environment. You will take ownership of your projects, follow up consistently and identify potential problems before they affect the programme.
You must be confident communicating with suppliers, site managers, fitters and subcontractors while keeping accurate control of orders, deliveries, project information and deadlines.
Pay: From €35,000.00 per year
