Job Description – Testing and Maintenance Admin
Purpose of Role
We are seeking a highly organised and detail-oriented Administrator to manage and oversee the scheduling, coordination and documentation of lightning protection system inspections and testing across the business. Reporting to the Head of Testing & Maintenance, this role requires excellent communication skills, technical awareness and a strong understanding of industry standards.

Responsibilities of Role
- Access the testing forecast spreadsheet to review planned or projected testing workloads, client demands, sample submissions, or service requests for upcoming periods.
- Contact clients proactively (via email, phone, or other channels) to discuss upcoming tests, confirm requirements, and secure purchase orders (POs) to formalize commitments and enable work to proceed.
- Prepare and issue quotations (quotes/proposals) for the testing services, including pricing details, scope of work, timelines, and any applicable terms.
- Maintain ongoing communication with the line manager (or supervisor) regarding pricing strategies, negotiations, approvals, or any adjustments prior to issuing final quotations or accepting POs, to ensure alignment with company policies, margins, costs, and competitive positioning.
- Schedule and coordinate routine and ad hoc inspections and testing of lightning protection systems nationwide.
- Liaise with clients, site managers and engineers to ensure access, compliance and clear communication of testing requirements.
- Ensure all testing and maintenance work is conducted in line with lightning protection standards and relevant Health & safety legislation.
- Maintain accurate logs and service history for each installation tested.
- Support and coordinate with testing engineers to ensure timely completion of works.
- Monitor the calibration and proper use of test equipment.
- Ensure all documentation is completed and stored in accordance with GDPR and quality standards.
- Provide technical advice and assistance to site staff and customers where needed.
- Contribute to continuous improvement of testing procedures and quality assurance.
Requirements:
- Proven experience in a coordination, scheduling or administrative role, ideally within a technical or engineering environment.
- Strong knowledge of lightning protection systems or willingness to learn technical standards relevant to the role.
- Excellent organisational and time-management skills with the ability to prioritise and manage multiple tasks.
- High attention to detail with a focus on accuracy and compliance.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite and familiarity with scheduling or service management software.
- Understanding of GDPR, Health & Safety regulations, and quality documentation standards.
Pay: €35,000.00-€38,000.00 per year
