We are currently recruiting an Office Administrator to join our Administration Team. This is a great opportunity for someone to work within the expeditious Geospatial industry. The successful applicant will be reporting to the Group Office Co-Ordinator and will be based in our Kilcullen office. There may be the possibility for hybrid working when the successful candidate is appointed.
What will I be doing in my new role?
- Provide administration support to all aspects of the group business
- Manage the company mailboxes with timely responses.
- Assist various support Departments within the group business.
- Take ownership of tasks and work collaboratively with colleagues to ensure projects delivered on time and to a high standard.
- Screen telephone calls, enquiries, requests, and handling them when appropriate in a confidential manner
- Support the Group Office Co-Ordinator in management of office welfare facilities and supplies.
- Assists in maintaining office efficiency by planning and implementing office systems, and layouts
- Maintain office standards, Kitchen supplies order stock and stationery where necessary, ensure that facilities are running smoothly.
- Cover Reception duties when needed.
- Receive, sort, and distribute the daily mail/deliveries, arrange couriers etc
- Raise queries where necessary and monitor responses. Escalate any unresolved issues with the Office Co-Ordinator
- Manage correspondence within tight timeframes.
- Assist with the preparation, collation, and delivery of tender documents.
- Minute taking and actions
- Creating POs in line with company procedures
- Managing company credit cards and reconciling same in line with company procedures
- Organisation of catering when needed.
- Organisation of company events, including activities, accommodation, transportation/travel, conference bookings
- Making extensive travel arrangements
- Arranging and booking various H&S training courses as needed
- Aid in setting up and maintaining supplier accounts.
- Understanding the business needs and prioritising accordingly
- PA duties for Directors when needed
- Communicate effectively and efficiently, while maintaining good working relationships with all colleagues
- Identify opportunities for improvements within the company and raise them within the administration team.
- Perform other clerical duties such as photocopying, binding, printing, and filing.
- Any other tasks/ ad hoc projects that are reasonably expected of the administration team
- Welcome all visitors to our office in a friendly manner and ensure they are directed appropriately if needed.
What qualifications/ previous experience do I need?
- 2 + years’ reception experience is desirable
- MS Office Suite skills, Outlook, Work, Excel, PowerPoint, Teams
- Full EU Driving License and use of own vehicle
- Sage Experience is desirable but not essential
