We are looking for a friendly, organised, and reliable Swimming Pool Administrator & Coordinator to support the smooth running of our swimming pool, swimming lessons, and day-to-day administration.
This is a flexible role (24-32 hours p/w) involving administration, staff coordination, customer communication, lesson organisation, occasional teaching, and support with pool operations. It would suit someone who is approachable, practical, good with children and families, and confident in helping staff, systems, and daily routines stay organised.
The role offers flexible working hours for administration tasks, with the potential for some work-from-home hours after a training period, depending on the needs of the business.
Main Responsibilities
The successful candidate will help with:
- Supporting the day-to-day administration and organisation of the pool and swimming lessons.
- Responding to customer queries, parent communications, and emails in a friendly and professional manner.
- Assisting with swimming lesson administration, class lists, staff updates, and lesson information.
- Facilitating the monthly staff rota, availability, holidays, and cover arrangements.
- Supporting communication between staff, management, parents, and customers.
- Helping with staff onboarding, inductions, and training on internal systems and procedures.
- Maintaining and updating internal records, Google Drive, and pool administration systems.
- Assisting with the planning of school lessons, promotions, open days, and service improvements.
- Learning pool plant room operations to a good working standard, with training provided.
- Helping staff with operational questions and procedures once fully trained.
- Identifying ways to improve systems, communication, and day-to-day organisation.
- Teaching or covering swimming lessons occasionally where required.

- Comfortable coordinating schedules, staff, and day-to-day administration.
- Calm, practical, and helpful during busy periods.
- Competent with Google Work systems (gmail, Google Drive), and willing to learn other online systems.
- Able to take initiative and suggest improvements where needed.
- A positive team player who is flexible and willing to help where required.
Qualifications and Skills Required
- Swim teaching qualification is required- or commitment to obtain swim teaching qualification.
- Experience working with children/young adults is required.
- Strong administration and organisation skills.
- Good communication and interpersonal skills.
- Computer skills.
- Willingness to become confident in pool plant room operations.
- Recognised First Aid qualification and child protection training or commitment to obtain qualifications.
- Ability to teach or cover swimming lessons when required.
- Previous experience in a swim school, leisure centre, reception, administration, or coordination role would be an advantage.
- Lifeguard qualification would be an advantage but commitment to obtain swim teaching qualification.
- Previous plant room experience would be an advantage, but training will be provided regardless of previous experience.
Hours of Work
- Approximately 26–32 hours per week.
- Flexible hours available for administration tasks.
- Some weekend availability is essential.
- Some teaching hours may be included.
- Potential for some work-from-home administration hours after a training period (approval after a training period from owners will be required).
