About the Role:
EnergyLads is a dynamic and growing company based in Annacotty, Limerick, specialising in energy efficiency, building energy assessment and sustainability services for residential and commercial properties throughout Ireland.
As the company continues to expand, we are seeking a highly organised and personable Part-Time Operations & Scheduling Administrator to join our team.
The successful candidate will play an important role in supporting the day-to-day operations of the company, with a particular focus on client communication, appointment scheduling and coordination of our engineering team.
A significant part of the role will involve communicating directly with homeowners and other clients by telephone and email to arrange appointments and ensure that our engineers' schedules are organised efficiently.
This position would suit an experienced administrator who is confident speaking with customers, highly organised and comfortable managing multiple appointments and priorities. There is potential for the position to develop further as EnergyLads continues to grow.
Key Responsibilities:
· Contact homeowners and other clients by telephone and email to arrange appointments for EnergyLads services.
· Schedule and coordinate appointments across the company's engineering team.
· Manage engineer diaries and assist in planning efficient daily and weekly schedules.
· Coordinate appointments geographically where possible to minimise unnecessary engineer travel.
· Follow up with clients who have not responded to previous scheduling attempts.
· Manage routine appointment changes, cancellations and rescheduling.
· Issue appointment confirmations and relevant pre-appointment information to clients.
· Maintain accurate and up-to-date information on company job trackers, scheduling systems and calendars.
· Ensure relevant client and job information is correctly recorded prior to appointments.
· Respond professionally to routine client enquiries by telephone and email.
· Escalate technical queries, complaints or other matters requiring engineering input to the appropriate team member.
· Support the Operations function with general administration and coordination as required.
· Assist with other administrative duties as the company continues to grow.
Experience & Skills:
· Previous experience in an administration, scheduling, customer service, office coordination or similar role is desirable.
· Excellent telephone manner and confidence communicating directly with customers.
· Strong organisational and time-management skills.
· Ability to manage multiple appointments, priorities and ongoing tasks.
· Excellent written and verbal communication skills.
· Strong attention to detail and accuracy when recording information.
· Comfortable using email, calendars, spreadsheets and general office software.
· Ability to work independently and use initiative while also working effectively as part of a team.
· Reliable, professional and capable of handling client information appropriately.
· Experience scheduling field-based staff, engineers, technicians, tradespeople or similar personnel would be an advantage but is not essential.
Education & Qualifications:
· Relevant administrative, business or office-based qualifications are desirable but not essential.
· Strong general computer literacy is required.
· Training on EnergyLads' internal systems, services and scheduling procedures will be provided.
