Job Description:
Assistant Practice Manager

Location: Greystones Medical Centre, Co. Wicklow

Reports to: Operations Manager (training directed by current Practice Manager)

Hours: 08:00 – 16:30, Monday to Friday (1 hour unpaid break) – 37.5 paid hours per week

Contract: Permanent, full-time

Salary: €18.00–€20.00 per hour starting, increasing once the current Practice Manager retires.

Benefits: 10 days full sick pay

Purpose
To provide supervisory and operational support across administration functions, learn the full range of Supervisor duties through structured training, cover key gaps, support prescriptions and reception, and ensure continuity of service as the practice grows.

This role may be particularly suitable for a strong medical administrator who is ready to take the next step into a supervisory position.

Key Duties
During the training period the post-holder will float across all areas of the practice to ensure they gain a full understanding of our operations, including ground-floor reception, first-floor reception, prescriptions, and supervisor administration. Full training is provided. Duties include:

Daily bloods management, post distribution, phone support and scanning assistance
Email management and responding to GP queries
Prescriptions processing support
Assisting with staff rotas, leave processing and CDM oversight
Progressive learning of specialist processes (Medical Legal reports, Maternity & Infant Care claims, Garda scheme, nursing homes, palliative care, STCs, new patient registration, etc.)
Providing supervisory cover every Thursday and Friday until full handover

Essential Criteria

Experience in a busy office, reception or administrative management environment (medical centre experience is an advantage but not essential – full training will be provided)
Strong organisational skills and ability to prioritise under pressure
Excellent communication skills and professional manner
Competence with Microsoft Office (particularly Excel)
Willingness to float across multiple roles and learn new processes quickly
High standard of confidentiality and GDPR awareness

Desirable Criteria

Previous experience in a medical centre or general practice
Knowledge of prescriptions processing or pharmacy-related administration
Supervisory or team-lead experience
Familiarity with HSE schemes (GMS, Maternity & Infant Care, CDM)

Training
Structured training and handover with the current Practice Manager through to July 2027. Monthly progress reviews with the Operations Manager.
