About the Role
The Systems Coordinator will form part of FoodCloud’s Organisation Excellence team. This is a hands-on, junior-level role supporting the systems, processes, data and tools that help FoodCloud teams deliver their work effectively.
The role will include responsibility for day-to-day updates, administration and support of our CRM in Salesforce and Warehouse Management System in Dynamics Business Central, while also contributing to wider OrgEx work such as process improvement, documentation, reporting support, internal tools, user training and AI-assisted ways of working.
We are looking for someone organised, curious and practical, who enjoys solving problems, supporting colleagues and improving how things work. The successful candidate does not need to be a Salesforce or Dynamics expert from day one, but should be comfortable working with systems, integrations, data and people, and willing to learn and develop their technical skills over time.
This role would suit someone early in their career who has strong attention to detail, excellent communication skills and an interest in systems, operations, AI tools and continuous improvement that drive social and environmental impact.
Key Duties and Responsibilities
Internal Systems and Process Improvement
- Support the administration, maintenance and continuous improvement of FoodCloud’s internal systems, including Salesforce CRM, Warehouse Management Systems (Business Central / nopCommerce), Twilio Flex and other business applications.
- Make agreed updates to system configuration, records, users, permissions, page layouts, reports, dashboards and other configuration items, with support and guidance where required.
- Respond to staff queries relating to internal systems and provide user support, guidance and training to help colleagues use systems effectively.
- Support regular data quality checks, data cleaning and data imports to ensure information is accurate, consistent and useful.
- Work with teams across the organisation to understand system issues, reporting needs and change requests, helping translate these into clear requirements.
- Support system updates, testing, release activities and communication of relevant changes to users.
- Maintain and improve system documentation, user guides, training materials and knowledge resources.
- Identify manual, repetitive or inefficient processes that could be improved through better use of systems, templates, automations or AI tools.
- Document current workflows and support the design and implementation of simpler, more effective processes.
- Assist with internal systems projects, including testing, user feedback, documentation, rollout and post-deployment activities.
- Support the adoption of internal tools and platforms across FoodCloud, helping teams work in consistent, efficient and effective ways.
- Collaborate with colleagues across Operations, Technology, Data and other business teams to understand day-to-day challenges and contribute to practical solutions.
AI-assisted working, integrations and automation support
- Use AI tools responsibly to support day-to-day work, including drafting documentation, summarising information, preparing training materials, analysing process notes and supporting administrative tasks.
- Support the design, implementation and continuous improvement of internal AI agents across FoodCloud’s internal apps, maintaining their knowledge, instructions and capabilities to ensure they remain accurate, effective and aligned with evolving business processes.
- Development and maintenance of APIs, integrations and automations.
- Assist teams in exploring safe and practical uses of AI to reduce manual work and improve consistency.
- Support the creation of simple templates, checklists, guidance documents and process maps that make it easier for teams to complete recurring work.
- Work with the wider team to ensure AI-assisted outputs are reviewed, accurate, appropriate and aligned with FoodCloud’s policies and values.
Reporting, documentation and training
- Support the creation and maintenance of system reports and dashboards, working with the Data and Insights function and other stakeholders as needed.
- Help ensure key system processes and workflows are documented and kept up to date.
- Create simple user guides, FAQs, training materials and process documentation for internal systems.
- Support the delivery of training sessions or drop-in support for staff using Salesforce, Dynamics Business Central and other internal tools.
- Communicate clearly with technical and non-technical colleagues, ensuring that updates, changes and guidance are easy to understand.
Governance, data protection and continuous improvement
- Support good data governance practices, including accuracy, consistency, appropriate access and compliance with relevant legal requirements such as GDPR.
- Work with colleagues in HR, IT, Security, Data and Engineering where relevant to support user access, permissions, system changes and documentation.
- Maintain and develop personal knowledge of Salesforce, Dynamics Business Central, internal systems and integrations, AI tools and process improvement practices.
- Contribute to a culture of continuous improvement across FoodCloud.
- Carry out additional duties as required in line with business needs.
Skills and Experience
Essential
- Strong organisational skills and excellent attention to detail.
- Good written and verbal communication skills, with the ability to explain information clearly to different audiences.
- Comfortable working with systems, data, spreadsheets and digital tools.
- A practical problem-solving mindset and willingness to learn new tools and processes.
- Ability to work collaboratively with colleagues across different teams.
- Ability to manage tasks, follow through on actions and keep clear records of work completed.
- Good computer literacy, including Microsoft Office or Google Workspace.
- Interest in using AI tools responsibly to improve productivity, documentation and ways of working.
Desirable
- Experience using Salesforce or another CRM system.
- Experience using Dynamics Business Central or another warehouse management system
- Salesforce Administrator certification, or willingness to work towards it.
- Experience supporting users with system queries or providing internal training.
- Experience creating reports, dashboards or working with operational data.
- Experience documenting processes, creating guides or improving workflows.
- Understanding of data protection, GDPR or good data governance practices.
- Experience working in a charity, social enterprise, operations, systems, customer support, administration or project support role.
