Job Description
The Receptionist & Administrative Assistant role is responsible for ensuring efficient front-desk operations, managing student services, and providing administrative support and excellent customer service to our students. This position plays a crucial role in welcoming students and visitors, managing daily school operations, and facilitating a well-organized and professional environment.
Key Responsibilities
- Front Desk & Communication Management: ○ Manage info email account and respond to student inquiries. ○ Greet and welcome students and visitors professionally. ○ Direct visitors to appropriate offices or staff members. ○ Answer, screen, and forward incoming phone calls. ○ Provide accurate information in person, via phone, and email. ○ Issue school-related letters, including enrollment, accommodation, and reference letters.
- Administrative & Operational Support: ○ Receive, sort, and distribute daily mail, deliveries, emails, and leads. ○ Manage bookings for student accommodation and airport transportation. ○ Ensure the reception area is clean, organized, and presentable. ○ Maintain office security by following safety procedures and monitoring access. ○ Provide school materials to students and issue service quotes when necessary.
- Facility & Resource Management: ○ Accompany service providers (electricians, maintenance workers) in the building. ○ Maintain book control and ensure adequate inventory. ○ Manage supply procurement for school needs, including office and cleaning supplies.
- Attendance & Student Support: ○ Print, distribute, and scan attendance lists daily for teachers. ○ Maintain effective internal communication with other departments to support students.○ Assist in managing student payments, morning fees, exams, and book purchases. ○ Provide support to the Director of Studies in student-related matters. ○ Input student information onto the school system.
Qualifications and Requirements
● Skills and Competencies: ○ Excellent customer service skills. ○ Strong organizational and multitasking abilities. ○ Excellent verbal and written communication skills. ○ Ability to manage a reception desk and handle administrative tasks efficiently. ○ Attention to detail and problem-solving skills. ○ Ability to work effectively with students, staff, and external partners. ○ Ability to handle complaints with empathy in a professional way. ○ Ability to be resourceful and proactive when issues arise
● Other Requirements: ○ Bachelor's degree in Administration, Business, or a related field (preferred). ○ Previous experience in reception, administrative support, or student services (preferred). ○ Familiarity with student management systems and office management tools, Google Workspace (sheets, docs etc). ○ Eligibility to work full-time in Ireland. ○ Fluent in English, second language is a plus.
