Full job description

Job Title: HR Administrator

Reporting to: HR Manager

Base: 15 Hogan Place, Dublin, D02 FV56 / Hybrid Working (required to be on site 2 days per week)

Contract type: Part time/ Specific Purpose – covering a Career Break

Duration: 12 months

Hours: Part time 21 hours – variable.

Days: Monday to Friday – variable.

Job Purpose

To support the delivery of high-quality Human Resources services by coordinating recruitment and selection activities, maintaining HR systems and records, producing workforce reports, supporting policy development, responding to employee queries, and contributing to HR projects and College initiatives.

This part time role works alongside another part time HR Administrator and will play a key part in ensuring efficient, compliant, and people-focused HR operations across the College.

It is an ideal position for someone who wishes to further develop their HR experience in a well-established, dynamic, progressive HR department.

Key Result Areas

Recruitment Selection: Assist with recruitment and selection administration such as developing job descriptions, advertising the posts, responding to candidates, setting up and participating in interview panels, managing the HRIS (HR Locker), preparing contracts of employment, and other miscellaneous recruitment correspondence.

HR mailbox:Administer the [email protected] and respond to all external and internal HR enquiries in an efficient, timely and professional manner.

Workplace Operations:Work closely with the Workplace Operations team, providing ad hoc reception support to ensure continuity of service during receptionist absences, including leave and break cover.

HRIS: Be one of the HR Locker ‘super users’ ensuring that all employee / candidate records are kept up to date and recorded where required to include all leave, and related records.

HR Reports: Via HR Locker, assist with the generation a wide range of HR reports such as sick leave, annual leave, flexi time, attrition rates, length of service, gender and age profiles.

HR Policies: Assist with the ongoing development and improvement of HR policies and procedures and ensure the Employee Handbook / HR Intranet page are always kept up to date.

HR Initiatives: Proactively keep abreast of new HR initiatives in the sector and actively participate in the HR team activities.

Miscellaneous Activities: Collaborate with HR colleagues and actively contribute to a range of HR projects, as well as wider College activities and events.

Person Specification

The ideal candidate will bring a combination of the following knowledge, skills, experience and behaviours:

Essential qualifications, skills experience

Relevant third-level qualification in HRM, Business, Administration or related discipline, and/or equivalent relevant experience
A minimum of 2- 3 years’ experience working in an administrative or HR support role
Experience supporting recruitment administration and onboarding activities
Ability to manage multiple tasks and priorities in a busy and collaborative environment
Strong attention to detail and accuracy in data entry and record management
Proficiency in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint)
Basic understanding of HR processes and HR best practice

Ability to work independently and collaboratively as part of a team
Proactive approach to problem-solving and continuous improvement
Strong interpersonal and communication skills and ability to communicate effectively with a wide range of stakeholders
Professional and discreet in handling sensitive and confidential information
Well organised with strong administrative and prioritisation skills
Comfortable learning and using new technologies, including AI-enabled tools
Adaptable and responsive in a changing and fast-paced environment

Desirable

Familiarity with HR Information Systems (e.g. HRLocker)
Awareness of Irish employment legislation
Awareness of GDPR and data protection principles
Interest in developing a career in HR
CIPD qualification or working toward CIPD accreditation
