We are currently seeking an experienced Office Administrator to support the smooth and efficient running of our Carrick-on-Shannon office. This is a varied, client-facing role with a strong focus on managing enquiries, coordinating appointments, supporting project and grant applications, and keeping customers and management informed.
The successful candidate will be organised, professional and comfortable working in a busy environment. You will be expected to use your own initiative, take a proactive approach and manage a broad range of responsibilities while meeting deadlines and maintaining a high standard of customer service.
You’ll be responsible for:
- Managing the day-to-day administration and smooth operation of the office
- Acting as a first point of contact for clients, suppliers and other stakeholders
- Managing incoming emails, telephone calls and customer enquiries in a prompt and professional manner
- Making outgoing calls and following up with clients, prospects and project contacts
- Providing clear information to customers and directing technical queries to the appropriate team member
- Maintaining and updating Customer Relationship Management software and customer records
- Scheduling sales appointments, client meetings and internal meetings
- Coordinating diaries, work schedules and meeting arrangements
- Preparing and sending quotations, proposals and tender documentation
- Following up on quotations, tenders and outstanding customer actions
- Completing application forms, project forms and supporting documentation accurately and on time
- Assisting with grant-funded projects, including gathering information, completing forms, tracking deadlines and maintaining supporting records
- Liaising with clients and project stakeholders to obtain the information and documentation required for applications
- Preparing reports, letters, spreadsheets and other documents using Microsoft Word and Excel
- Supporting the preparation of project reports and client updates
- Creating pro-forma invoices, sales orders and other basic accounts documentation
- Supporting management with internal communications, operational coordination and customer follow-up
- Working closely with management, colleagues and customers to ensure projects progress efficiently
- Handling confidential and commercially sensitive information with discretion
- Carrying out other administrative and project-support duties as required by management
We’re looking for someone who:
- Has at least two years’ experience working in a busy office, administration or customer-support environment
- Is confident communicating with customers by telephone, email and in person
- Has excellent written and verbal communication skills
- Can build strong and professional relationships with both internal and external stakeholders
- Is highly organised and able to manage multiple priorities and deadlines
- Uses initiative and can make appropriate decisions within their area of responsibility
- Has excellent attention to detail and a high level of accuracy
- Is confident completing forms, reports and detailed administrative documents
- Has strong problem-solving skills and a practical, solutions-focused approach
- Is proficient in Microsoft Office, particularly Word, Excel, Outlook and calendars
- Has experience using a Customer Relationship Management system
- Is motivated, dependable and comfortable managing a varied workload
- Works well both independently and as part of a team
- Has a positive, professional and flexible approach
- Understands the importance of confidentiality and discretion
- Has experience working with business-to-business customers
You do not need to have worked in the environmental or energy sector before. We welcome applications from candidates with relevant transferable experience who are organised, confident dealing with customers and willing to learn.
It would be an advantage if you:
- Have experience working in a professional-services or project-based business
- Have assisted with grant applications, funding forms or publicly funded projects
- Have experience preparing quotations, tenders or project documentation
- Have supported sales teams or managed customer follow-up activity
- Have experience with basic accounts administration, sales orders or invoicing
- Have an interest in sustainability, environmental services or energy management
