Accounts and Administration Assistant, who will report to the CEO and will be responsible for a broad range of administration, bookkeeping duties, management accounting/financial reporting. The role involves collating and preparing financial information to support financial governance and ensure accurate and timely reporting.
Duration : Up to six months , Maternity leave cover
Location : Predominantly work from home, 1 day in the office.
No of hours per week : 15 – 20 across 5 days
Office & General Administration
- Oversee general office operations and administrative support services.
- Act as the internal point of contact for operational queries and assist with board meeting preparations (agendas, minutes and board papers)
- Perform other non-routine duties as required.
Accounts Work
- Ensure daily income processing activities are carried out in a timely manner and manage day-to-day ledger operations, including accounts payable, accounts receivable and bank reconciliation.
- Assist in the processing of monthly salary payments, staff expenses, grant and supplier payments. Payroll calculations will not be required but will need to be obtained from payroll provider for payment processing.
- Prepare weekly income report and quarterly management accounts (Income Statement, balance sheet, and budget variances) for the CEO.
- Assist with preparing year-end accounts and liaise with external auditors for the annual statutory audit.
- Maintain familiarity with Statement of Recommended Practice (SORP)guidelines applicable to charity accounting in Ireland.
- Support GDPR compliance and maintain strict confidentiality regarding donors.
- Complete ad-hoc work as required.
Experience
- Qualified or part-qualified accountant (CPA, ACCA, ACA, CIMA) or an Accounting Technician (IATI) qualification.
- Alternatively, extensive proven book-keeping and administrative experience within an Irish office environment. Minimum 3 to 5 years of relevant experience in a similar finance and administration role, ideally within the Irish charity / non-profit sector. Preferably with knowledge of accounting of restricted funds i.e. money donated with legally binding donor stipulations.
- Experience with computerized accounting package Sage, Stripe Platform and high proficiency in Microsoft Excel and Word. Experience with Donation platforms such as Idonate; Benevity preferrable but not required.
