Role: HR Support Offiicer
Location: Dublin 12
Schedule: Monday - Friday (Weekend Availability)

Salary: €35,000
Position Summary:
The HR Support Officer is responsible for a range of administrative and operational duties that contribute to the overall efficiency and effectiveness of the Company. Your role involves receiving and processing all applications for posts within the Company, arranging interviews, ensuring all documentation used during the recruitment, screening and selection process is held securely, in compliance with employment legislation and regulations, industry requirements, data protection requirements and HR best practice, and carrying out a range of other administrative duties that contribute to the effectiveness of the HR team.
Principal Duties & Responsibilities include, but are not limited to:
Receiving incoming applicant CVs and passing them on to the HR team for screening.
Ensuring compliance with the PSA 028 - PSA 039 Standard.
Maintaining a fully trained and qualified workforce capable of covering all contingencies.
Screening candidates in line with legal, regulatory and company requirements.
Drafting and uploading relevant job postings
Conducting pre-screening of applicants CV's.
Making telephone calls to establish candidate suitability and to arrange initial interviews
Conducting compliance checks and vetting
a. Applying for Garda Vetting
b. Ensuring worker suitability including eligibility to work, identification, experience, skills and criminal record checks
c. Checking documents for validity, such as passports, proof of addresses and work visas
Inputting applicants' details onto in house systems, processing applicants' files, including sending and following up on reference checks and Garda vetting checks.
Offering positions to successful candidates.
Providing a timely pre-employment sign off system for all new workers.
Uploading and maintaining information contained on the ‘Central Vetting’ system.
Maintaining records and ensuring compliance with legislative, regulatory and contractual requirements: completing all necessary files, documentation and administration in a timely manner.
Ensuring applicants' files meet all mandatory checks.
Scheduling interviews.
Arranging staff Induction training.
Dealing with incoming queries
Collating reports and figures for use by the management team
Completing required documentation in compliance with the vetting process and company requirements.
Creating Personnel Files for each new employee.
Setting up new employees on the Company system, in accordance with policies and procedures.
Keeping personnel systems up to date.
Carrying out regular checks (audits) on files as per agreed timetables and producing timely reports on audit results.
Developing and maintaining effective working relationships with all colleagues.
Dealing with any queries/complaints that may arise from time to time pro-actively, including correct reporting and recording.
Motivating staff and increasing their levels of job satisfaction.
Maintaining accurate and up to date employee records.
Ensure the Company meets all current legislative requirements.
Provide regular reports to management.
Maintaining ISO 9001, ISO 14001, ISO 18001, ISO 27001 standards.
Maintaining the Excellence Through People (ETP) standard.
Maintaining confidentiality regarding company information and technology systems relevant to your role within the company.
Adhering to all company IT policy and procedure guidelines.
Calling suitable candidates to arrange interviews: emailing them details of all paperwork they are required to bring, and directions to our office.
Ensuring all candidate documentation and data, which is regarded as sensitive personal data, is held safely and securely, in compliance with employment legislation and regulations and data protection requirements.
Photocopying training and personnel documents.
Keeping the uniform room clean and tidy at all times.
If required, attending disciplinary & probationary hearings. Typing up minutes of meetings as required from time to time.
Providing administrative support for the HR department.
Ensuring the implementation of the systems and controls required as outlined in the the Company’s policies and procedures, and reporting any issues or concerns to the appropriate person, that may arise from time to time.
Co-operating with the General Manager and management team in the development and/or implementation of new products or services.
Attending training programmes and workshops as required from time to time.
Being aware of and comply with all Health & Safety regulations as directed by the Company.
Attending and contributing to such meetings as may be directed from time to time.
Undertaking such other reasonable and lawful duties pertaining to the role as may be directed from time to time by the General Manager and relevant Heads of Department.
