Job Purpose
The Assistant Front Office Manager supports the Front Office Manager in leading the reception and guest services team, ensuring seamless daily operations and delivering an outstanding guest experience from arrival to departure. This role requires strong leadership, excellent organisational skills, and a proactive approach to both service and operations. The Assistant Front Office Manager acts as a key contact for guests and staff, ensuring high standards are maintained across all front office functions while supporting the achievement of departmental goals.
Role Responsibilities
Guest Reception and Service Excellence

Oversee daily front desk operations, ensuring smooth check-in, check-out, and guest service processes.

Maintain a visible presence in the lobby to engage with guests and support the reception team.

Ensure service standards are consistently upheld in line with hotel policies and brand expectations.

Anticipate guest needs, respond to requests, and manage VIP arrivals with attention to detail.
Team Leadership and Development

Supervise and motivate reception staff, fostering a positive and professional working environment.

Support training and development of front office employees, ensuring they are skilled in guest service and hotel systems.

Assist with team scheduling, ensuring adequate staffing levels at all times.

Conduct probation and performance reviews, providing feedback and development opportunities.
Operational Efficiency

Ensure accuracy in reservations, billing, and room allocations.

Support the implementation of front office systems, policies, and procedures to enhance efficiency.

Coordinate with housekeeping, maintenance, and other departments to ensure a seamless guest journey.

Maintain accurate shift handovers and ensure all team members are briefed on daily operations.
Guest Satisfaction and Problem Resolution

Act as a point of escalation for guest complaints or issues, ensuring they are resolved quickly and professionally.

Monitor guest feedback and work with the Front Office Manager to implement service improvements.

Promote a guest-first culture within the team, encouraging staff to go above and beyond in service delivery.
Financial Management and Reporting

Ensure compliance with hotel financial policies, including billing accuracy, cash handling, and credit card transactions.

Assist with front office budgets, payroll, and cost controls.

Prepare and analyse reports on front office performance, occupancy, and guest satisfaction.
Health, Safety, and Compliance

Ensure front office operations comply with all health, safety, and fire regulations.

Conduct regular checks to maintain a safe and secure environment for guests and staff.

Ensure adherence to hotel policies and procedures across all reception activities.
Collaboration with Senior Management

Work closely with the Front Office Manager and other department heads to support the smooth running of hotel operations.

Contribute to management meetings with updates on front office performance and guest feedback.

Support the implementation of hotel-wide initiatives and service improvement projects.
Preferred Experience & Skills
-
3-4 years' experience in a front office or guest services role, with at least 1 year in a supervisory/assistant manager position.

Strong leadership and people management skills.

Experience using hotel front office systems (Opera or similar).

Excellent organisational and problem-solving abilities.

Strong communication and guest service skills with a professional, approachable manner.

Ability to remain calm and effective under pressure.
