Role Overview
We are seeking a meticulous, highly organised, and proactive Finance and Office Administrator to join our growing team. This is a remote role requiring excellent attention to detail and strong communication skills. Similar to a junior-level personal assistant, the position focuses heavily on core bookkeeping, with secondary support in office administration and marketing.
We are offering this as a part-time remote position (25 hours per week, Monday to Friday). However, we are fully open to making this a full-time role immediately for the right candidate. For a part-time hire, there is massive potential for the role to naturally scale into a full-time position as the business develops and you take on more capacity.
Key Responsibilities
Core Bookkeeping & Finance (Primary Focus):
· Raise, process, and issue accurate customer invoices promptly.
· Monitor outstanding invoices and professionally handle payment follow-ups/collections.
· Maintain accurate financial records, tracking spreadsheets, and supporting documentation.
· Assist with payment reconciliations and identify unmatched transactions.
· Set up and maintain customer/supplier records within QuickBooks and internal systems.
Office Administration & Client Care (Secondary Focus):
· Act as a key point of contact for customer service, answering calls, and managing straightforward enquiries via email and phone.
· Monitor shared inboxes to ensure prompt correspondence or internal escalation.
· Support wider operational, data entry, and project-related tasks.
· Provide ad hoc marketing and social media support when capacity allows (or upon moving full-time).
Marketing & General Business Support (Growth Area):
· Provide occasional administrative support with marketing campaigns and promotional activities.
· Assist with scheduling social media content and responding to basic online enquiries.
· Help update the company website, customer databases, or marketing information.
· Support ad-hoc projects and business growth initiatives as required.
Skills, Experience & Attributes
Background: Prior experience in bookkeeping, accounts administration, or a similar junior PA/administrative role is highly desirable.
Software: Hands-on experience with QuickBooks, Xero, or similar accounting software is a major advantage. Competency with spreadsheets and MS Office is required.
Meticulous Nature: Exceptional attention to detail and a reliable, accurate approach to managing financial data.
Communication: Excellent written and verbal communication skills with a friendly, professional approach to customer service.
Adaptability: A positive attitude with the flexibility to jump into different business areas as the role evolves.
