Key Responsibilities of the Role:
Specific DC Ops Operational Support:
- Manage the calendars for DC Ops Leadership for main meetings:
- Monthly DC Ops Meetings
- Quarterly DC Ops Wider Leadership Meetings
- Other ad Hoc Meetings
- Prepare agenda, presentations and meeting minutes.
- Manage the action trackers from meetings.
- For all off site meetings – arrange venues and itineraries etc etc…
- Manage the org charts for all Business Units i.e ensuing the org charts are always up to date on the system.
- Manage the DC Ops files ensuring all information is correctly saved.
- Work with the Culture group and the operations teams to help raise the culture on our projects.
Arrange client entertainment events ensuring correct governance is in place.

Stakeholder Management
- Liaise with:
- Internal teams (engineering, procurement, design, finance, IT…)
- External partners (clients)
- Ensure clear communication flow between DC Ops Leadership and key stakeholders.
Organise and coordinate senior management meetings and site visits.

Meeting & Governance Support
- Prepare agendas, materials, and presentations for:
- Project reviews
- Executive meetings
- Investment/approval boards
- Take structured minutes and track decisions and actions.
- Ensure follow-through on governance processes, approvals, and reporting
Process & Continuous Improvement
- Identify opportunities to streamline operational workflows and reporting.
- Help implement tools for project tracking and collaboration (e.g. dashboards, trackers)
- Standardise templates and reporting formats across projects.
Confidential & Strategic Support
- Handle sensitive business and commercial information with discretion.
Support strategic initiatives led by the DC Ops Leadership (expansion plans, portfolio strategy, org chart changes…)

- Attend site when required.
- Support DC Ops Leadership on various individual tasks.
- Good communication at all times.
Essential Criteria for the Role:
Organisation & Multitasking
- Ability to manage and organising meetings, workshops etc etc..
Strong attention to detail under tight deadlines

Ability to synthesise complex information into concise summaries.

- Strong Excel / data tracking capability
- Experience with project dashboards and reporting tools
