Full job description

Place of work: Dublin 18

Working Hours: Monday to Friday, 8.30am – 5.00pm

Probation: 6 months

Blacktree is a private equity investment and property management company specializing in commercial real estate. We own and operate managed office spaces in Ireland and are seeking a Receptionist / Office Administrator to support property operations, tenant services, and business development activities.

Joining the Blacktree team, you will have the opportunity to develop your professional skills and explore career growth opportunities within an active and diversified global organization.

Key Responsibilities:

Maintaining smooth operations and delivering quality services across our buildings;
Serving as the first point of contact for tenants, visitors, and service providers;
Handling enquiries and feedback via phone, email, and general correspondence;
Managing office inventory, including stationery, equipment, and furniture;
Coordinating office services such as cleaning, maintenance, and other service providers;
Maintaining safety, cleanliness, and hygiene standards of the reception and common areas;
Assisting with basic accounting and financial administration, including processing invoices, maintaining expense records, and organizing accounting documentation;
Liaising with internal accountants and suppliers on administrative and accounting matters;
Supporting leasing, tenant engagement, and business development activities when required;
Performing ad hoc administrative duties and projects as assigned.

Qualifications and Skills

Previous experience in reception, customer service, office administration, or a similar role is preferred;
Excellent verbal and written communication skills in English;
Strong interpersonal skills with a professional and customer-focused approach;
Well-organized, resourceful, and able to work independently;
Adept at prioritizing tasks, scheduling, and multitasking in a fast-paced environment;
Ability to be proactive and resolve issues efficiently;
Proficient in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint);
Basic understanding of bookkeeping, invoice processing, and expense management;
Strong attention to detail and accuracy when handling financial and administrative records;
Ability to maintain confidential business and financial information;
Self-motivated, dependable, and willing to learn.
