Role Objective:
Lead and coordinate the delivery of Estate Services across hard services, energy management and FM project delivery for the Bar of Ireland property portfolio. Ensure that our facilities are professionally managed, fully maintained and that any related matters are resolved quickly. Deliver a planned preventative maintenance programme, drive energy and sustainability initiatives, manage procurement and vendor relations to support the strategic goals set within the long-term property plan.
About the Role:
A varied and rewarding lead role within the Estate Services team, reporting to the Estates Manager. This position offers the opportunity to lead hard services and key facilities initiatives and projects across the Bar of Ireland's property portfolio, ensuring facilities are safe, future ready and maintained to a high standard.
Key Responsibilities
Facilities Management
Oversee Planned Preventative Maintenance (PPM) programmes, reactive works and asset management strategies, including asset replacements. Implementing effective Mechanical, Electrical, Building, and Fabric maintenance strategies to optimise asset performance and reduce unplanned downtime.
Ensure all maintenance and project activities are delivered to agreed standards, specifications and SLA’s.
Provide expert technical guidance to internal stakeholders, leadership and external partners.
Manage critical utilities including security hardware, HVAC, boilers, electrical and water systems
Responsible for ensuring best practice and standards for maintaining building fabric and structure and support business growth by identifying opportunities to improve equipment reliability, maintenance performance, and operational efficiency.
Manage contractor performance to ensure adherence to best practice and compliance standards.
Monitor on an on-going basis the actual costs incurred for maintenance activities against the agreed SLA’s and budget costs.
Drive Energy management and sustainability initiatives across the property portfolio.
Procurement Vendor Management
Lead hard services project delivery, including planning, risk management, stakeholder coordination and execution.
Conduct supplier performance reviews including service quality audits and verification of critical maintenance and PPM programmed visits and compliance with Health and Safety Standard.
Assist in the procurement of contractors, vendors and services as required reviewing building service contracts and redefying scopes of works to put comprehensive contracts in place.
Ensure prompt review of all third-party invoices and ensure payments are processed in a timely manner.
Member and Tenant Estate Service Support Delivery
Delivery of KPI and SLA conformance and compliance reports.
Undertake regular inspection of all common areas in conjunction with the Estates team and arrange for remedial repairs with a goal of continuous improvement of asset performance and operational efficiency.
Collaborate with the wider Estates Services Team ensure all issues raised and building requirements are resolved in a timely manner. Support and champion various estate projects and initiatives.
Risk Management
Assist in the implementation and management of property risk management program, focused on hard services requirements.
Support IT in the development and implementation and monitoring of business continuity plans
Follow established escalation procedures and incident reporting procedures.
Having regard to risk management, achieve Key Performance Indicators and Service Level Agreement targets.
Administration and Stakeholder Management
Complete and monitor weekly / monthly reporting and statistics.
Liaise with occupiers/tenants in order to establish constructive and positive relationships.
Keep management informed of developments with respect of operations via regular reporting.
Person Specification
Minimum of 5 years’ experience in hard FM, technical services with responsibility for and management of contractors.
Degree (or equivalent) in Facilities Management, Building Services, Engineering, or a related discipline
Member of a relevant professional organisation IWFM, RICS or SCSI,
Strong background in maintenance operations, asset management, and project delivery
Knowledge of BMS, CAFM and PPM scheduling tools,
Working knowledge of health and safety and construction regulations,
Financial acumen with demonstrated competence in managing budgets,
Solution orientated with the ability to work under pressure and resolve issues that may arise,
Experience using digital tools and technology to improve efficiency and reporting,
Excellent interpersonal skills with the ability to communicate effectively both written and verbally with internal stakeholders, external contractors and service providers,
Proven organisational skills combined with ability to prioritise competing demands and methodical approach to problem solving,
High attention to accuracy and detail with ability to use own initiative and possess an adaptable, highly organised and flexible approach to work,
Experience preferably in a commercial office environment,
Excellent PC literacy skills required.
Role Type, Salary and Benefits:
This is a full-time permanent site-based role.
The successful candidate will work onsite in Church Street, Dublin 7, with working hours of Monday to Friday between the hours of 9am – 5.30pm.
The salary for this role will range between €60,000 and €65,000 depending on experience, with benefits including
