The Role:
The GEC is seeking a highly organised, customer-focused Events Support professional to join its busy and committed team. This role sits within a fast-paced environment, supporting a growing and varied events calendar. Responsibilities include preparing and setting up conference and meeting spaces, providing AV support, and assisting with all aspects of event coordination and delivery to ensure an exceptional client experience. The successful candidate will also play a key role in supporting GEC community and social events, helping to create a vibrant, welcoming and engaging environment for clients, members and visitors.
Work Location:
The GEC office in the Guinness Enterprise Centre (GEC). This is a full-time (35 hours per week) onsite role with in-person delivery. The hours will typically be Monday - Friday: 8am - 4pm OR 9am - 5pm OR 10am - 6pm.
Note: This role is event-driven and will involve occasional weekend work, late evenings and early starts in line with business requirements. A roster and shift system will be in operation.
Role Responsibilities:
Event Setup, Coordination & Support

Responsible for the physical set up and presentation of conference, meeting and event spaces (as directed by the Events Lead @ GEC), including furniture, AV equipment, room layouts, lighting and other event requirements.

Responding to Client needs in a timely and professional manner, ensuring any issues are escalated where required to the Events Lead.

Assist with the delivery of a busy events programme, ensuring a professional and seamless experience for clients and visitors.

Support the event booking process by managing enquiries, coordinating requirements and maintaining accurate booking records (as required).

Act as a point of contact for clients during events, responding to requests and resolving issues in a timely and professional manner.

Coordinate day-to-day event logistics, including liaising with suppliers, caterers and internal teams as required.

Ensure all event, conference and meeting spaces are maintained in excellent condition, with rooms reset and presented to a high standard before and after each booking.

Work closely with the Events Lead and Operations team to maintain a welcoming, professional and well-presented venue environment.
Community Engagement

Support the planning and delivery of GEC community and social events, including seasonal celebrations, networking events, charity initiatives and other community-focused activities.

Contribute to creating a vibrant and engaging environment for GEC clients, members and visitors.
Wider Team Support

Support the onboarding of new client companies, including preparing office spaces in conjunction with the maintenance team to ensure a smooth and welcoming transition into the GEC.

Provide support to the Front of House and wider Operations team during large events, busy periods and where additional cover is required.

Work collaboratively across the organisation to deliver an outstanding client and visitor experience.
About You:

Be a proactive, enthusiastic self-starter with a positive, can-do attitude and the ability to work effectively both independently and as part of a team.

Have experience in event support, hospitality, customer service, or another client-facing environment. Experience supporting events is beneficial but not essential if you can demonstrate strong organisational and customer service skills.

Demonstrate excellent customer service and interpersonal skills, with the ability to communicate professionally and confidently with clients, visitors and colleagues.

Have an understanding of event and conference room set-ups, including theatre, boardroom, cabaret, classroom, breakout and U-shape layouts.

Be comfortable working in a fast-paced, dynamic environment and able to respond effectively to changing priorities.

Possess strong organisational skills with a high level of attention to detail.

Be IT literate, with proficiency in Microsoft 365 applications, including Outlook, Word, Excel and Teams, and be comfortable using virtual meeting platforms such as Zoom and Google Meet.

Be comfortable using AV and event technology and willing to learn new systems as required.

Have excellent spoken and written English.

Present a professional, approachable and polished manner at all times.

Be flexible and willing to work outside normal business hours when required to support events.
Experience in event setup and coordination is desirable; however, candidates with strong customer service experience and a willingness to learn will also be considered.
