The Otter Relations (HR) Coordinator is responsible for administratively supporting the effective and efficient execution of the Otter Relations function for maximum employee engagement and candidate experience, and providing world-class support to all Otters; embracing a people-based, performance-driven, cohesive and inclusive culture that embodies our Core Values!
The Otter Relations Coordinator is a passionate people partner who collaborates effectively with key stakeholders and contributes to the success of the overall goals of the Otter Relations function. They will focus on key HR initiatives and activities including coordinating payroll, recruitment and onboarding across multiple countries, supporting learning and development initiatives, employee engagement activities, recordkeeping, reporting, and ongoing Otter Relations support. - Promote a positive employee culture by living our core values at all times.

Act as the first point of contact for HR-related queries from employees at all levels, building trusted relationships and providing proactive support to a hybrid and remote workforce, across multiple countries.

Develop and maintain strong partnerships with key stakeholders, delivering responsive, commercially focused support within a geographically dispersed and hybrid working environment.

Support the end-to-end execution of HR processes, including but not limited to onboarding, learning & development, performance management, compensation & benefits and engagement activities for maximum employee engagement.

Administer monthly and fortnightly payroll process, liaising with external service providers and internal partners.

Support employee benefits processes throughout the employment lifecycle, act as a key point of contact for benefits-related queries, maintain accurate records, liaise with benefit vendors, ensuring enrolments and changes are processed accurately and in compliance with company policies and applicable regulations.

Maintain accurate employee records, including employee files, HRIS, absence management, payroll and benefits records, and other documentation.

Administer internal workplace policies, partnering with the OR Manager and the Legal department to ensure legal compliance with company policy and employment laws.

Participate in and assist with internal and external audits as required.

Provide support in the recruitment process including job posting, talent sourcing, candidate communication, coordinate the flow of candidates through the interview process, generation of offers and contract letters candidate experience.

Assist the OR Manager in workforce planning initiatives including succession planning, talent management, training needs assessments and compensation analysis.

Connect with global HR functions such as the Organizational Development and Recruiting teams to support, facilitate, and communicate global initiatives, tools, trainings, and other related OR offerings locally.

Manage workload accordingly to provide timely responses, proactive communication to department leaders, and ensure accurate recordkeeping.

Support and maintain a positive safety culture by following all safety policies and procedures and actively contributing to a safe working environment by facilitating and participating in H&S trainings and documentation as required.

Utilize internal and external training tools to keep up to date with the latest market trends and development opportunities.

Seek to review and improve processes to ensure we work effectively and efficiently.

Demonstrate and help develop a culture of operational excellence where customer focus, process improvements and team collaboration are the priority.

Other responsibilities as required.
Qualifications:
- Bachelor’s degree in Business Management (HR Related would be preferred). Equivalent related experience may be considered in lieu of qualification.

Minimum of 1 years relevant experience in a hands-on HR Function. Work placement experience may be considered.

Basic understanding of HR and employment law concepts, principles, procedures, and regulations is required.

Demonstrable experience of consistent professional, positive, inclusive and approachable attitude/demeanour, and discretion and sensitivity in handling employee data.

Experience with an HRIS database and Dashboards is highly desirable.

Detail-oriented with excellent organizational and analytical skills and the ability to see creative solutions and opportunities.

Proficient in Microsoft Office® and ability to quickly learn new programs.

Strong commitment to providing top-quality customer service.

Effectively manage multiple priorities in a fast-paced environment, adapting to changing business needs while maintaining a high standard of service and delivery.
