Philip Lee LLP is a prestigious full-service law firm headquartered in Dublin. We are now recruiting a Legal Secretary to join our Projects and Construction team. Key Responsibilities

Provide comprehensive legal administrative support to the team.
Manage the end-to-end file lifecycle using the firm’s legal case management system.
File management – importing guidelines, accessing documents, sending demand letters, and making sure files remain updated.
Prepare materials and information for internal and external meetings.
Client billing – coordinating the team’s monthly billing process, ensuring invoices are issued on time and accurately.
Diary management – making sure schedules are organised correctly and there are no conflicts with diaries.
Liaise with internal and external stakeholders to understand and respond to their requirements.
Maintain discretion and confidentiality when handling sensitive information.
Ensure accuracy and speed in document production, coordinating with document specialists when required.
Manage travel arrangements and detailed itineraries.
Process time records and expense reports; and
Greet and liaise with clients and business visitors in a professional manner.

Candidate Profile

3–5+ years’ experience as a Legal Secretary, ideally within a projects and construction environment.
Experience managing a portfolio of senior stakeholders within the legal field.
Experience using iManage or another case management system.
Experience using a billing platform (KeyHouse or other).
Meticulous attention to detail.
Ability to work in the strictest level of confidentiality.
Superb communication skills in both verbal and written format.
Time management skills that allow you to coordinate multiple competing tasks.
A positive, can-do approach to work, even in challenging situations.
