Purpose of the Role
A central role within the administration team, the Purchasing, Payroll & Accounts/Admin Support Officer manages the end-to-end Purchase-to-Pay (P2P) process, processes payroll, and provides operational support to the Accounts Manager and the management team
Main Responsibilities
- Accounts Support — 45%: manage customer invoicing, maintain QuickBooks Online records, support supplier queries and AEFE-related documentation and administrative exchanges
- Purchase-to-Pay (P2P) — 45%: manage purchase requests, supplier quotes and Purchase Orders in Eduka, from request through to delivery and supplier records.
- Payroll — 10%: process monthly payroll (Collsoft), handle statutory returns, and produce payroll reports and journals.
Candidate Profile
Technical Skills
- Experience in purchasing, accounts payable/receivable or financial administration (2+ years)
- Experience in Irish payroll (IPASS Certificate in Payroll Techniques desirable)
- Knowledge of payroll software essential (Collsoft, or similar)
- Proficiency in MS Office 365 — advanced Excel essential
- Familiarity with accounting software (QuickBooks or equivalent) — training on QuickBooks Online provided

Tools & Systems
- Purchasing: Eduka — PO & expenses workflows (training provided) Payroll: Collsoft
- Accounts: QuickBooks Online (training provided)
- Office: MS Office 365 — Excel, Outlook, Teams, SharePoint
- Reporting: Orion, MAGE, Atena, Scolaide (AEFE systems) training provided
