The Opportunity
ACS Drives & Control Systems Ltd. is seeking a capable, efficient and highly organised Business Support Administrator to support the day-to-day administration behind service delivery, commercial administration, logistics and materials control.
Working closely with the Senior Service Coordinator and wider ACS team, the role will support service scheduling, quotation administration, purchase order follow-up, deliveries, shipping, parts tracking, stock control and internal stores administration.
ACS supports critical Irish industry through Variable Speed Drives, motor control, Power Quality, Condition Based Monitoring, electrical panel builds, commissioning, maintenance, diagnostics, lifecycle support and 24/7 technical service. In this environment, accurate administration, clear communication, reliable records and good control of parts, stock and deliveries are essential.
The successful candidate will also learn ACS service support processes over time and may provide basic stand-in support under guidance from the Senior Service Coordinator.
Key Responsibilities
- Service Support
- Support service scheduling, job updates, customer follow-up and service administration.
- Maintain accurate service records, including job details, customer information, service reports, purchase orders and supporting documentation.
- Follow up on missing information, delayed responses, incomplete documentation and open actions.
- Commercial Administration
- Assist with preparing, updating and tracking customer quotations using information from service, sales and management teams.
- Maintain clear records of quotation requests, customer information, supplier inputs and related documentation.
- Liaise with accounts on purchase orders, supplier documentation, customer information and related administration.
- Logistics and Shipping
- Support goods in/out, including parts, products, consumables, supplier deliveries, customer deliveries, collections and returns.
- Liaise with suppliers, couriers, customers and internal teams on deliveries, shipping information, delivery dates and documentation.
- Maintain records for delivery notes, courier shipments, collections, returns and customer-site delivery requirements.
- Materials Control
- Support internal stock, stores and inventory control, including parts, consumables, workshop supplies and materials.
- Assist with parts ordering, consumables ordering, supplier follow-up and stock replenishment.
- Keep stores information, parts records, stock records and delivery documentation organised and up to date.
About You
We are looking for someone with strong business administration experience, excellent work ethic and the ability to support several busy functions at once.
The successful candidate must have:
- strong administration, organisation and follow-through skills;
- excellent attention to detail and accuracy;
- strong written, verbal and numerical reasoning;
- the ability to understand and act on business information quickly and accurately;
- previous experience in administration, business support, service support, stores, logistics, inventory control, purchasing, accounts administration or similar;
- confidence working with quotations, purchase orders, delivery notes, supplier records, stock records, job records and customer information;
- experience using systems such as Sage, accounts software, ERP, CRM, job management, stock control systems or similar;
- confidence dealing with customers, suppliers, couriers and internal teams;
- the ability to work quickly and accurately while managing competing priorities.
A relevant qualification in business, administration, accounting, logistics, supply chain, business systems or a related area is required. Experience in service, stores, logistics, stock control, technical administration or service operations would be a strong advantage.
