Job Description
The operations executive role will primarily support / assist the operations team in Dublin. This is very much a hands-on role dealing with most aspects of our operations activities, including vessel agency.
We believe the successful candidate should have the following skills:

- Previous experience in shipping and vessel agency a distinct advantage
Key tasks for the operation department and vessel agency management:
General responsibilities:
· Working closely with all MSC departments in preparation for the vessel arrival, operations schedule working whilst in port.
-Import cargos, export cargo, load-list, specialist cargos reefers, hazardous, out of gauge and empties.
-Import cargo flows volumes arriving and commencement of ops for clients to collect their containers.
-Export cargo load-list preparation in advance of the vessel arrival ensuing all prebooked shipments in-line with the export voyage.
-Export cut-off deadlines for shipping instructions, VGM, Haz, reefer and all cargo on quay for creation of the OBLX for the vessel planners.
· Liasing and partnering with operations in other offices to ensure the shared vessel is planned appropriately for import and export cargo, monitoring allocation utilization by each port and vessel utilization.
· Co- ordinate workflow of internal departments through information systems and processes
· Hazardous cargo coordination and processing
· Communicating with the t/s port operation teams
· Communicating daily with the terminals in the port of operation relating to all MSC operational requirements.
· Maintaining vessel schedule.
· Provide ETA/ETS instructions to the vessels.
· Monitor and work with stowage planners to optimize vessel utilization within safety limits.
· Monitoring the bookings and finding effective solutions in case of overflow.
· Monitoring allocation utilization by each port and vessel utilization.
· Coordination of the berth planning in the region supported by the Port Captains and Port managers.
· Marine matters, emergencies at sea.
Reporting Responsibilities:
· Maintain the berthing program application including proforma berthing elements.
· Record all events in the event manager so that inserted for all parties to be aware.
· Weekly report in the event manager to share the result, success, and challenges of the week.
Vessel Agency
Purpose / Summary:
- Planning and monitoring live port activities, including the allocation of resources of (berth operations, gates, yard utilisation and cargo readiness)
- Berth performance improvement.
- Local eyes and ears on the ground protecting the interests of MSC regarding port activities.
Key responsibilities:
· Communicating to vessel master and crew
· Completing the SafeSeas submission prior to the vessel arrival
· Piloting (entering and exiting a harbour) booking with the port authority,
· Coordinating and booking Towage, tugs for the vessel with the local supplier
· Coordinating and booking Mooring for the vessel with the local supplier
· General local management of the vessel and crew whilst in the port and terminal
· Assisting the vessel Captain with crew related matters such as booking hotels, flights, attending medical appointments etc
· Providing assistance to the vessel Captain based on their requests for local support
- Coordinate and oversee the vessel operations ensuring that conditions are in place to minimise the port stay of MSC Vessels.
- Highlight deviations from the berthing plan to the network depts and propose solution the prospects of the network as a whole.
- Act promptly to secure the best possible outcome for our vessels alongside by following the operations closely and reacting to changes in circumstance.
- Spend time in the terminal to fully understand what is happening on the quay familiarity with real time activities will help you anticipate upcoming problems.
- Work with the terminal on strategies to reduce lost time and improve productivity in corporate way to build long-lasting mutually beneficial partnership.
- Align with the ports served by any service directly prior or after the port of its responsibility, on any possibility delays or change to original ETA respectively ETS.
· Vessel incidents and accidents to be report immediately.
- Management of vessel repairs and general maintenance if required in the local port
- VCI reporting requirements
