We are seeking a highly organised, empathetic, and proactive Medical Secretary to join our team on a fixed-term basis.
As the first point of contact for our patients and referrers, you will deliver a premium, caring administrative service. You will play a pivotal role in managing consultants' clinics, streamlining patient pathways, and ensuring the smooth day-to-day operation of our department.
Patient Relations & Front-of-House

Act as the welcoming voice and face of the clinic, managing patient calls, messages, and enquiries with sensitivity.

Register patients, manage referral letters, and schedule appointments, clinics, and procedures.
Clinic & Practice Management

Prepare clinics by ensuring all patient files, charts, referral letters, and relevant test results are triaged and available.

Meet and greet patients, coordinate follow-up appointments, track medical charts, and manage "Did Not Attend" (DNA) protocols.

Provide fast and accurate medical typing for clinic letters, follow-up correspondence, and inpatient discharge summaries.
Financial & IT Administration

Process, receipt, and reconcile clinic payments and patient invoices.

Utilize multiple IT platforms daily (knowledge of the MediTech system is a distinct advantage).

Ensure precise and secure data entry, maintaining strict patient and staff confidentiality in line with hospital policy.
Team Collaboration

Work seamlessly with the wider administrative team, providing cross-cover for phone lines, clinics, and leave as required.
Experience & Qualifications:

Education: A good standard of education (Leaving Certificate or equivalent).

Healthcare Experience: Previous experience in a similar secretarial or administrative role within a healthcare/hospital setting is essential.

Medical Typing: Fast, accurate audio/dictation typing skills with a strong command of medical terminology is essential.

IT Literacy: Proficient in MS Office (Word, Excel, Outlook). Ability to learn and adapt to multiple hospital systems quickly.

Communication: Exceptional interpersonal and telephone skills, with a patient-centered, empathetic approach.
