Outsourced Accounts & Payroll is a small but growing boutique bookkeeping and payroll practice based in Dún Laoghaire. We provide high-quality bookkeeping, payroll, VAT, and outsourced finance support to a diverse range of Irish SMEs. Role Overview
This is a varied, full-time role that combines running the day-to-day organisation of a busy practice with hands-on bookkeeping support. It would suit someone who wants to build real experience in an Irish accountancy practice: you'll split your day between administrative and office-management tasks and supporting our bookkeeping clients, and over time you'll take on your own portfolio of clients as your experience grows.
You'll be the organisational hub of the office and the first point of contact for clients and new enquiries, while developing the technical bookkeeping skills that lead to a long-term career in practice. Based in our Dún Laoghaire office, Monday to Friday.
Key Responsibilities
Office & Practice Administration
- Be the first point of contact for the practice: manage the main office inbox daily, answer incoming calls and emails, respond where you can and route the rest to the right team member, keeping the inbox clear
- Respond to and qualify new business enquiries, and keep client contact and account details up to date
- Sort and process incoming post, scanning and routing client documents correctly
- Support a small mailbox/correspondence service for external customers, following their handling instructions
Automation & Document Processing
- Own the day-to-day capture and processing of client paperwork — sorting, scanning, and uploading documents to Dext or client folders
- Identify opportunities to reduce paper handling and move clients toward fully digital document submission
- Help build and maintain workflow templates and "how-to" guides as processes are standardised
- Support the practice's move to an automation-first way of working
Bookkeeping & VAT
- Manage day-to-day bookkeeping for an assigned portfolio of clients across a range of industries, growing into full ownership of your own portfolio over time
- Reconcile bank accounts, accounts payable, and accounts receivable
- Prepare and submit VAT returns in line with Irish tax regulations
- Maintain accurate financial records and assist in preparing management reports and financial statements
- Handle client queries efficiently and professionally
Payments & Payroll Support
- Manage a recurring weekly and monthly payroll and supplier payment schedule across a portfolio of clients, ensuring invoices are entered correctly and payments made on time
- Monitor a shared payments inbox and ensure all invoices are recorded on the correct client system before payment
- Support month-end close routines and keep client files accurate and up to date
Task & Workflow Management
- Manage and update ongoing tasks on our practice management system (BrightManager), completing what you can and flagging blockers
- Create new workflows and keep existing ones current as processes evolve
Key Requirements
- Experience: 1–2 years in bookkeeping or accounts administration; experience in a professional services or accountancy practice is an advantage but not essential
- Software Skills: Excellent Microsoft Excel and general IT skills; experience with a bookkeeping system (QuickBooks an advantage)
- Automation Mindset: Tech-savvy with genuine enthusiasm for automation and reducing manual processing
- Regulatory Awareness: A working understanding of, or willingness to learn, Irish VAT, PAYE, PRSI, USC, and RCT
- Client-Facing: Confident, professional communication style, comfortable handling client and new enquiry calls and emails as a first point of contact
- Organisation & Accuracy: Strong organisational skills and a high level of accuracy; comfortable managing multiple recurring deadlines (payroll runs, supplier payments, VAT) and a busy inbox
- Reliability & Attitude: Comfortable with the rhythm of fixed weekly/monthly deadlines; a team player who can also work independently
- A bookkeeping or payroll qualification (e.g. IATI, ATI, or equivalent), or working towards one, is welcome
