Role Overview
The Operations Executive will support a broad range of operational activities, including order processing, customer service, supply chain, product data, regulatory coordination, office facilities and internal systems support.
This role is suited to someone who is structured, system-focused, organised and comfortable working with customers, suppliers, fulfilment partners, ecommerce platforms, marketplaces, regulatory partners, IT providers and internal teams. The successful candidate will be comfortable working across different areas of the business and following tasks through accurately from start to finish.
Key Responsibilities
- Coordinate the end-to-end processing of orders across all sales channels, ensuring they are accurately progressed through to fulfilment.
- Oversee incoming customer queries through the customer service platform, ensuring customers receive accurate and timely support with order queries, delivery issues, returns, replacements and other customer-related operational issues.
- Raise and manage purchase orders, and follow up with suppliers and manufacturers on lead times, production timelines and deliveries.
- Maintain accurate product, supplier, inventory and order data across relevant business systems.
- Support stock management, stock movements, inventory control and discrepancy investigations.
- Liaise with 3PL and fulfilment partners on inbound deliveries, order flow, dispatch queries, kitting, bundles and promotional stock requirements.
- Support marketplace and ecommerce operations, including stock management, operational setup and campaign readiness.
- Gather, track and file product regulatory documentation, including specifications, certificates, testing reports, artwork review documents and claims support.
- Assist with office facilities, general administration, internal systems, software access and basic IT coordination.
- Help identify process gaps, reduce errors and improve operational controls and ways of working.
Skills & Experience Required
- Experience in operations, customer service, supply chain, purchasing, inventory, order processing or product administration.
- Strong attention to detail and accuracy.
- Good systems ability and confidence working with data.
- Tech-savvy, with an interest in using systems and AI tools to improve efficiency.
- Strong organisational and follow-up skills.
- Good written and verbal communication skills.
- Practical problem-solving approach.
- Ability to manage multiple tasks and priorities.
- Comfortable working with customers, suppliers, warehouses, fulfilment partners, service providers and internal teams.
Desirable Experience
- Experience in skincare, cosmetics, FMCG, ecommerce or retail.
- Experience using Cin7, ERP systems, ecommerce platforms, customer service platforms or 3PL systems.
- Familiarity with SKUs, BOMs, bundles, stock transfers and product master data.
- Exposure to product regulatory documentation, supplier documentation, artwork reviews or product launch processes.
