Role Purpose
The HR and Recruitment Administrator plays a key role in supporting the delivery of HR operations across the retail business. This position is responsible for overseeing the day-to- day administration of the recruitment function while providing high-quality HR administrative support across the business. The role ensures HR processes are efficient, compliant with employment legislation, and delivered to a consistently high standard.
The successful candidate will act as the first point of contact for recruitment, administration, support managers with HR queries, coordinate HR projects and assist with implementation of HR policies and initiatives.
Key Responsibilities
· Provide HR support, guidance during disciplinary, grievance, investigation, probation and absences management processes.
· Maintain confidential HR records
· Assist with HR policy implementation
· Support the implementation of HR initiatives and organisational projects.
· Identify opportunities to improve HR and Recruitment administration processes and efficiencies.
· Assist with audits and compliance reviews
· Ensure compliance with Irish employment legislation, company policies and GDPR requirements.
· Assist with preparation of documentation for external audits or employee related matters.
· Manage and oversee recruitment processes, including job posting, interviews, onboarding and job offers.
· Oversee the day-to-day administration of recruitment function across the business.
· Monitor recruitment activity and provide regular updates and reports to the HR Director
· Maintain recruitment systems, candidates record and ensure GDPR compliance
· Coordinate new-starter and leaver administration, including pre-employment checks, required documentation, complete employee files and accurate Access updates, following up with stores or candidates on any outstanding actions.
· Manage the recruitment mailbox and tracker, ensuring vacancies, candidate progress and outcomes, including referral candidates, are recorded, progressed and followed up, and key employee lifecycle dates and actions are tracked and escalated where overdue.
· Develop and improve recruitment processes and documentation.
· Support recruitment planning for new stores and business growth.
· Manage and oversee the company succession planning process
· Monitor probation review dates and support managers with completion of reviews.
· Record and refer any reasonable accommodation requirements to HR maintaining confidentiality and escalating complex, sensitive or employee relations matters.
· Prepare weekly/monthly HR and Recruitment reports
· Support the delivery HR an recruitment training
· Manage the company people quarterly metric through data, analytics
· Attend weekly team meeting and provide recruitment and HR updates

Requirements
· Minimum of 3 years’ experience within a HR administration role, preferably within a fast- pace retail or multi-site environment.
· Previous experience coordinating or overseeing recruitment activities.
· Strong knowledge of Irish employment legislation and HR best practice.
· Excellent Organisation skills and administrative skills with strong attention to detail.
· Ability to manage multiple priorities and work to tight deadlines
· Excellent communication and interpersonal skills
· High level of confidentiality and professionalism
· Strong IT skills including Microsoft Office and HR Information Systems.
· Experience producing HR reports and analysing recruitment data.
· Able to work independently and as part of a team
Desirable
· CIPD qualification or equivalent HR qualification
· Experience working within a high-volume retail environment
· Experience using applicant tracking systems and HR platforms
· Experience supporting employee relations processes.
