We are seeking a highly organised and detail oriented Medical Administrator. This role is primarily focused on medical administration, accurate data entry, patient record management, and coordinating medical information with doctors and healthcare providers.
The ideal candidate will have excellent administrative skills, strong attention to detail, and the ability to manage confidential medical information with a high level of accuracy.
Key Responsibilities
Medical Results & Clinical Coordination
- Reviewing incoming laboratory and diagnostic results and ensuring they are accurately recorded.
- Raising and assigning medical results to the appropriate doctor for review in a timely manner.
- Monitoring outstanding results and following up where necessary.
- Liaising with GP surgeries, hospitals, laboratories, and other healthcare providers regarding referrals, reports, and test results.
- Ensuring all clinical correspondence is processed efficiently and accurately.
Medical Administration & Data Management
- Accurately entering and maintaining patient information within the patient management system.
- Updating electronic medical records, ensuring all patient information is complete, accurate, and current.
- Managing and organising medical documentation while maintaining strict confidentiality.
- Preparing patient files and ensuring all relevant documentation is available for clinical appointments.
- Processing medical forms, referrals, and correspondence.
Administrative Support
- Providing administrative support to doctors, nurses, and the management team.
- Preparing reports, letters, and other medical correspondence.
- Assisting with general office administration and maintaining organised systems.
- Ordering and maintaining office and medical supplies.
Compliance & Quality
- Ensuring all administrative processes comply with healthcare legislation and data protection requirements.
- Maintaining the highest standards of accuracy when handling patient information and medical documentation.
- Supporting continuous improvements to administrative processes and workflow efficiency.
Provide additional support as and when required, including:
Appointment Administration
- Contacting patients with appointment reminders.
- Managing cancellations and ensuring appointment diaries remain efficiently organised.
- Scheduling, rescheduling, and confirming patient appointments.
Patient & Financial Administration
- Processing patient payments and maintaining accurate payment records.
- Responding to billing and payment enquiries.
- Assisting patients with administrative queries in a professional and courteous manner.
Essential Skills & Experience
- Minimum 2 years' experience in an administrative or medical administration role.
- Excellent data entry skills with exceptional attention to detail.
- Strong organisational and time management skills.
- Ability to manage multiple tasks while maintaining a high degree of accuracy.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office and computer-based administration systems.
- Experience working with confidential information in a professional environment.
Desirable
- Previous experience in a medical or healthcare setting.
- Knowledge of electronic patient record systems.
- Leaving Certificate or equivalent.
