Position Summary:
The Radiology Onboarding & Engagement Administrator will be responsible for the coordination, administration and delivery of onboarding processes for radiologists and clinical staff joining Medica Ireland. The role will act as a central point of contact throughout the onboarding journey, ensuring that all documentation, compliance requirements, training arrangements, equipment deployment and system access are completed accurately and efficiently.
The post holder will provide a highly organised administrative service supporting radiologists, hiring managers and internal stakeholders while maintaining accurate records, producing performance reports, and continuously improving onboarding processes. Working closely with Recruitment, IT, Legal, Finance, Clinical Governance, Teleradiology and Operations teams, the Administrator will help deliver a positive onboarding and engagement experience for new radiologists and clinic staff from recruitment through to successful operational integration.

Key responsibilities:
Radiologist Onboarding Administration
- Coordinate all administrative aspects of the radiologist/clinic staff onboarding process from acceptance of offer through to commencement of reporting activities.
- Liaise with Medica recruitment teams regarding incoming candidates and onboarding requirements.
- Manage the collection, verification and tracking of onboarding documentation, including:
- Right to work documentation
- Professional registrations
- Insurance documentation
- Mandatory training records
- Contracts and onboarding forms
- Coordinate equipment deployment and access requirements with relevant departments.
- Schedule onboarding meetings, training sessions and induction activities.
- Maintain accurate onboarding records and databases in accordance with company procedures.
- Monitor onboarding progress and provide regular updates to radiologists, clinic staff and key stakeholders.
- Support issue resolution by coordinating actions between IT, Clinical Governance, Finance, Legal, Operations and Teleradiology teams.
- Ensure all onboarding activities are completed in line with regulatory, governance, and organisational requirements.
- Coordinate the transition of newly onboarded radiologists/clinic staff to operational teams and support structured handover processes.
- Ensure all newly onboarded radiologists/clinic staff are appropriately configured on relevant systems and other operational platforms.
- Participate in feedback sessions following commencement of role.
Engagement Support
- Act as a primary administrative contact for newly onboarded radiologists and clinic staff during their onboarding period.
- Coordinate engagement initiatives, orientation sessions, and feedback activities.
- Support the delivery of training programmes and educational initiatives.
- Gather onboarding feedback and maintain records of improvement opportunities.
- Assist in the development and maintenance of onboarding resources, guidance documents and communication materials.
Process Administration & Reporting
- Maintain onboarding policies, procedures, trackers, and documentation.
- Produce regular onboarding reports, KPI dashboards, and performance metrics.
- Monitor onboarding timelines and identify delays or improvement opportunities.
- Support continuous improvement initiatives through analysis of onboarding data and feedback.
- Manage SharePoint sites, onboarding documentation repositories, and electronic filing systems.
- Ensure onboarding records remain accurate, complete and audit ready.
Essential Skills & Experience
- Previous experience in an administrative, onboarding, coordination, or healthcare support role.
- Excellent administration and organisational skills with exceptional attention to detail.
- Strong document management and record-keeping experience.
- Highly proficient in Microsoft Office applications, including:
- Excel (reporting, data analysis, trackers and dashboards)

- Experience using SharePoint for document management, collaboration and information governance.
- Strong IT literacy with the ability to learn and utilise multiple business systems.

- This role will involve travel and attendance at exhibitions, conferences, training and meetings Ireland wide and potentially UK and Europe (which may include overnight stays and weekend travelling)
