Full job description

The 4 star Ardilaun Hotel is looking for a full-time Sales and Events Coordinator to join the team. This role is Monday-Friday.

Purpose of Job: To ensure all meeting and event enquiries are handled promptly and that these enquiries are converted to bookings at every opportunity. You will ensure that the guest needs are met from their initial enquiry through to the day of the meeting/event as well as implementing and adhering to Hotel policies regarding operating procedures, reservations and administration of same.

Reports to: Sales Manager

MEETINGS & EVENTS:

Serve as the main point of contact for meeting and event inquiries, providing information, responding promptly and following up.
Schedule and conduct hotel show-arounds, ensuring meeting rooms are presented to a high standard.
Handle administrative tasks, including inputting information into Hotsoft and Tablepath systems, updating details, and communicating updates to relevant departments.
Maintain open communication with hotel departments to ensure efficient bookings.
Manage booking deposits, event confirmations, contracts and billing.
Maintain third-party systems and respond promptly to new inquiries.
Negotiate contracts with clients, ensuring terms are achievable and within budget.
Collaborate with hotel operations, food and beverage, and sales teams to improve meeting and event services and develop new packages.
Develop a meetings and events strategy, including promotional plans, menu development, and new ideas/trends.
Assist in organizing and promoting corporate and other events, and contribute to promoting the hotel as a premier meeting destination.

Requirements:

Excellent customer service skills
Previous experience is a similar role desired.
Strong written and verbal communication skills
Ability to multitask, prioritize tasks, and meet deadlines
Attention to detail
Ability to collaborate effectively with various teams within the organization
